Job Description
We are seeking a highly organised and customer-focused Conference & Events Coordinator to join our Sales & Marketing team. This is a part-time role (0.8 FTE) on a fixed-term contract for 8–10 months.
Reporting to the Director of Sales & Marketing, you will be instrumental in coordinating conferences, meetings, and events from the initial enquiry stage through to successful execution. Collaborating closely with clients and operational teams, you will ensure meticulous planning for every event while delivering an exceptional guest experience.
Key Responsibilities
- Coordinate conference and event enquiries from initial contact to post-event follow-up.
- Prepare quotations, contracts, Banquet Event Orders (BEOs), and client correspondence.
- Assist in converting enquiries into confirmed bookings.
- Manage all event logistics and communicate requirements to operational departments.
- Conduct client site inspections and venue show rounds.
- Cultivate and maintain strong client relationships to encourage repeat business.
- Ensure event information is accurately recorded in Delphi and Opera.
- Deliver outstanding customer service throughout the event planning process.
- Support the Director of Sales & Marketing with administrative and sales tasks.
- Contribute to achieving conference and events revenue and guest satisfaction targets.
Qualifications
- Previous experience in Conference & Events Coordination, Hotel Sales, or Hospitality is preferred.
- Experience with Delphi and Opera is highly desirable.
- Excellent organisational and time management skills.
- Strong communication and interpersonal abilities.
- Capacity to manage multiple priorities in a fast-paced setting.
- High attention to detail.
- A positive, professional, and proactive attitude.
- Full Australian working rights.
- Ability to work onsite.
