Functions Coordinator – Oxford Hotel, Leederville
The Oxford Hotel, a neighbourhood pub established in 1906, has been lovingly restored to showcase its historic beauty. We offer a relaxed, family-friendly dining experience, quality drinks, and impeccable service. Open seven days a week for lunch and dinner, our ground floor is complemented by purpose-built upstairs facilities that cater to a large number of weddings and corporate functions. As one of Perth's premier function venues, we are seeking a committed and enthusiastic Functions Coordinator.
This part-time, onsite role involves overseeing all aspects of event planning and execution to ensure seamless experiences for clients. You will be responsible for:
- Coordinating all facets of functions and weddings.
- Meeting and communicating with clients to ensure their requirements are met.
- Conducting final detail meetings and preparing event orders.
- Liaising with clients to confirm requirements in a timely and professional manner.
- Managing event setup, including furnishing, AV, and sound systems.
- Overseeing event execution and end-of-event handovers with the duty manager.
- Addressing and resolving any issues or emergencies during events.
- Attending relevant sales and operational meetings.
- Liaising with the Hotel Manager and Head Chef to ensure delivery of staffing requirements.
- Responding to sales enquiries via email, phone, and social media platforms.
- Performing FOH duties in daily operations.
The ideal candidate will possess proven knowledge of food and beverage, with the confidence and ability to make recommendations, welcome and interact with guests, and create memorable experiences. A passion for hospitality, the ability to work in a fast-paced environment, and a commitment to delivering superior customer service and attention to detail are minimum requirements.
About You:
- Experience in event management or coordination, with previous wedding experience.
- A passion for hospitality and all things functions and weddings.
- A "can-do" attitude and willingness to assist others.
- An ability to build and maintain strong client relationships; you enjoy connecting with others.
- Excellent communication and interpersonal skills.
- Past hands-on function floor experience.
- Current RSA & Approved Managers Licence.
- Exceptional personal presentation and a warm, personable yet professional disposition.
- Strong organisational and time management skills; you know how to prioritise and have efficient systems in place.
- A positive attitude, remaining positive even in challenging situations.
This part-time role is for 3 days a week, with flexible and adaptable working hours, including evenings, weekends, and public holidays as required.
