Accounts & Administration Officer - ClockOn Pty Ltd

ClockOn Pty Ltd is seeking an Accounts & Administration Officer to join their team in Erina. This role is integral to delivering excellent customer service and supporting the smooth operation of ClockOn's accounts, billing, and office administration functions.
The position involves working across various business systems, including MYOB, recurring payment platforms, and software subscription systems, to ensure the accuracy and alignment of customer accounts, software licences, billing, and payments. As ClockOn evolves into a cloud-based SaaS and Outsourced Payroll Services provider, this role presents a valuable opportunity for individuals who are eager to learn new systems, tackle challenges, and contribute to ongoing process enhancements. This is a hybrid role, combining customer service, accounts administration, and office administration, making it suitable for someone who enjoys interacting with both people and technology.
Key Responsibilities:
- Customer Accounts & Billing:
- Respond to customer inquiries via telephone and tickets concerning accounts and billing.
- Collaborate with customers, local team members, and the offshore Accounts Receivable team to resolve customer account and billing matters.
- Liaise daily with the Support and Implementation teams to maintain accuracy in customer accounts, software licences, and billing records.
- Process billing adjustments stemming from customer upgrades, subscription modifications, and migrations from desktop software to the Online platform.
- Investigate discrepancies across customer records, licence registers, recurring payment systems, and financial records to ensure billing precision.
- Accounts Receivable:
- Provide assistance with overdue payment follow-up and debtor collection activities.
- Investigate aged debts and propose appropriate actions for resolution.
- Maintain precise customer account records and contribute to enhancing the integrity of debtor balances.
- Accounts Payable:
- Validate and process supplier invoices.
- Administer supplier payments through both automated direct debit and manual processes.
- Reconcile supplier accounts and support payment processing and month-end procedures.
- Office Administration:
- Assist with the daily operational needs of the office, including managing supplies and general administrative tasks.
- Provide administrative support to the CEO and Finance Manager.
- Contribute to the improvement of administrative and finance processes as the business expands.
Key Relationships:
- Internal: CEO, Finance Manager, Offshore Accounts Receivable Team, Customer Support Team, Implementation Team, Sales Team.
- External: Customers, Suppliers, Service Providers.
Skills & Experience:
- Essential:
- Previous experience in accounts administration, bookkeeping, finance administration, or a comparable office administration role.
- Strong customer service and communication abilities.
- Excellent attention to detail and the capacity to investigate and resolve discrepancies.
- Comfortable using multiple software systems and acquiring new technology skills.
- Robust organisational skills and the ability to manage competing priorities.
- Intermediate Microsoft Office proficiency, particularly with Excel.
- Desirable:
- Experience within subscription or recurring billing environments.
- Experience using MYOB or similar accounting software.
- Experience with recurring payment platforms such as PayWay.
- Experience in a software, SaaS, or technology-focused business.
- Experience working with customer account management, CRM, or subscription management systems.
