Job Description

Multipac Australia, a Victorian-owned manufacturer serving the food, beverage, dairy, and specialty chemical industries, is expanding. As the business enters an active growth phase, including new customer account development, we seek a Bookkeeper/Admin Officer. This full-time, fully remote position reports directly to the Managing Director, with regular structured check-ins and clear weekly priorities. The role is open to candidates located anywhere in Australia.

About the Role

As the Administration Officer, you will manage the core administrative and bookkeeping functions of Multipac Australia. This broad role encompasses payroll, customer purchase orders, supplier coordination, and BAS preparation, offering the opportunity to significantly influence daily business operations. You will be the primary contact for accounts payable and receivable, ensuring timely invoicing and payments, and will act as an operational anchor, allowing the Managing Director to focus on growth initiatives.

What You'll Do

  • Manage end-to-end bookkeeping in Xero, including bank reconciliation, accounts payable, accounts receivable, and supplier payments.
  • Process weekly and fortnightly payroll, covering superannuation lodgment, STP reporting, and end-of-year finalisation.
  • Prepare and lodge quarterly Business Activity Statements (BAS).
  • Receive customer purchase orders, validate commercial details, and enter them into the Monday.com production system.
  • Create and submit supplier purchase orders, ensuring proper documentation for invoice matching.
  • Manage customer invoicing, follow up on overdue accounts, and maintain healthy cash flow through disciplined receivables management.
  • Communicate professionally with customers, handling order acknowledgements and delivery enquiries based on established team frameworks.
  • Answer incoming phone calls and direct them appropriately within the team.
  • Provide personal assistant support to the Managing Director, including diary management, correspondence, and ad hoc administrative tasks.

About You

  • Proven experience in a similar broad administration/bookkeeping role, ideally 3+ years within an SME environment.
  • Proficiency with Xero, including hands-on experience with payroll, AP, AR, bank reconciliation, and BAS preparation.
  • Comfortable with learning new systems quickly; experience with Monday.com for production tracking would be valued.
  • Excellent written and verbal communication skills, with the ability to represent the business professionally to customers and suppliers.
  • Detail-oriented with a strong focus on accuracy.
  • Reliable, organised, and capable of self-management, essential for a remote role.
  • Possess a suitable home office setup, including a quiet workspace, reliable internet, and the ability to conduct business calls professionally.
  • Available during eastern states business hours (8:30 am – 5:00 pm AEST/AEDT) irrespective of your location.
  • Calm under pressure with good judgement regarding when to escalate issues.
  • A genuine team player, willing to assist beyond the strict job description when required.

What We Offer

  • A competitive salary range of $65,000 – $75,000 per year, plus superannuation, dependent on experience.
