The Opportunity:
As a Finance Operations Assistant within Wotton Kearney's Finance Operations team, you will be instrumental in ensuring the smooth day-to-day functioning of the firm. This pivotal role connects various departments, including Finance, People & Culture, Business Development, IT, Billing, and legal teams, by supporting essential processes. Your responsibilities will include maintaining the accuracy of client, matter, and rates data, which is fundamental to the firm's operations. This position extends beyond traditional finance support, involving collaboration with stakeholders across the firm to resolve issues, enhance processes, and uphold the integrity of key systems and information. It offers broad exposure to the operations of a national professional services firm and the chance to make a real impact. This role is available to candidates located in Sydney, Melbourne, or Brisbane, with flexible hybrid working arrangements.
Duties and Responsibilities:
- Administer and maintain client and matter rates, ensuring accuracy and adherence to client agreements.
- Provide support for client and matter onboarding, updates, and ongoing data maintenance.
- Manage and respond to inquiries received via shared team mailboxes.
- Maintain client agreement documentation within the firm's systems and records.
- Assist with employee onboarding, offboarding, and business-related changes that affect finance operations.
- Prepare and deliver finance, reporting, and volume-based discount reports.
- Support time recording processes and aid in troubleshooting system issues.
- Contribute to process improvement initiatives and finance-related projects firm-wide.
About You:
- Experience in a finance operations, finance assistant, finance officer, or similar role within a law firm.
- Understanding of client, matter, or rates administration, with familiarity with industry terminology.
- Strong attention to detail and the ability to accurately manage competing priorities.
- Intermediate to advanced Excel skills and comfort working with the Microsoft 365 suite.
- Strong written and verbal communication skills, coupled with a collaborative and service-oriented approach.
- A proactive mindset with the capacity to identify opportunities for process and efficiency improvements.
- Experience with Aderant would be highly regarded, though not essential.
