Quality Administration Assistant

Southcare Inc is seeking a Quality Administration Assistant for a contract position based onsite in Manning.

About this Role:

Reporting to the Quality & Clinical Risk Manager, this position will support the effective management of quality, clinical governance, and risk across Southcare’s community services. Responsibilities include assisting with audit activities, document control, incident and risk administration, reporting, action tracking, and managing continuous improvement records.

This role is well-suited for an individual with strong administrative capabilities who values accuracy, utilises follow-up systems, monitors compliance, and thrives in a values-driven community services setting.

Key Responsibilities:

  • Maintain documentation related to quality, clinical governance, and compliance.
  • Support document control processes for policies, procedures, forms, and records.
  • Assist with internal audit activities and preparation for external audits.
  • Collate evidence, audit findings, and supporting documentation.
  • Track actions, corrective actions, and continuous improvement items.
  • Manage incident and risk registers, including data entry and reporting.
  • Support records management, correspondence, and the handling of confidential documents.
  • Liaise professionally with internal stakeholders to gather information and follow up on outstanding actions.
  • Contribute to a positive and improvement-focused team culture.
  • Report hazards, incidents, and near misses in accordance with Southcare policies and procedures.

This is a 6-Month Fixed Term Contract, requiring 22.5 hours per week over 3 days.

Requirements for this Role:

  • Demonstrated experience in aged care, with a preference for experience within Support at Home or community care services.
  • Experience supporting quality functions, such as maintaining registers, evidence collation, action tracking, and document control.
  • Demonstrated experience assisting with and coordinating audits, including tracking the completion of corrective actions.
  • A high level of accuracy and attention to detail in data entry, record maintenance, and report/dashboard preparation.
  • Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
  • A demonstrated understanding of person-centred care and a willingness to align with Southcare’s Mission & Values.
  • A current National Police Clearance, as required by the Aged Care Act and organisational policy.

Desirable Qualifications:

  • Previous experience in a compliance, quality, or risk support role within aged care, community services, disability, or health sectors.
  • Working knowledge of the Aged Care Quality Standards and incident/risk concepts (e.g., root cause analysis, corrective actions, continuous improvement), and/or experience using an incident/risk management system (e.g., MOA or similar).
  • Sound understanding of privacy, confidentiality, and records management obligations, with experience applying these in document control and evidence collation.
