School Accounts Officer Macquarie Grammar School Sydney NSW Full-time, Onsite
Macquarie Grammar School, an independent secondary school situated in Sydney’s CBD, is looking for a School Accounts Officer. This position is for an individual with a keen eye for detail and a dependable approach, to become part of our finance and administrative team. The ideal candidate will be organised, proactive, and possess experience in school financial and administrative functions.
About the Role The School Accounts Officer will oversee the school’s financial transactions, aid in audit and compliance activities, and contribute to general campus administration. This role requires interaction with internal staff, international students, parents, auditors, the ATO, and third-party service providers.
Key Responsibilities
- Accounts Payable & Accounts Receivable (Primary Focus)
- Process and manage Accounts Payable, including supplier invoices, payments, and reconciliation.
- Manage Accounts Receivable, including issuing invoices, receipting, processing fee payments, and following up outstanding accounts.
- Maintain accurate, up-to-date financial records for both AP and AR.
- Financial & Administrative Duties
- Perform bank reconciliations and maintain financial documentation.
- Assist with payroll processing and superannuation administration.
- Manage student billing, refunds, and financial queries.
- Support budget preparation and internal management reporting.
- Assist external auditors with preparing documentation and responding to queries.
- Liaise with the ATO on BAS, PAYG, superannuation, and compliance matters.
- Manage third-party contracts, including service providers and vendor agreements.
- Support general school and campus administrative operations as needed.
- Communicate professionally with staff, parents, students, contractors, and external stakeholders.
Essential Criteria
- Demonstrated experience in accounts payable and accounts receivable.
- Proficiency in Xero and MYOB including invoicing, reconciliation, and reporting.
- Strong attention to detail, accuracy, and organisational ability.
- Proficiency with Microsoft Excel and general office software.
- Ability to maintain confidentiality and exercise sound judgement.
- Experience supporting external audit processes.
- Experience liaising with the ATO on compliance and taxation matters.
- Experience with third-party contract management and vendor coordination.
- Strong communication and interpersonal skills.
Desirable Criteria
- Chinese-speaking (Mandarin or Cantonese preferred) and fluent in English.
- Knowledge of high school accounts, billing procedures, and school operations.
- Experience working with international students and families.
- Understanding of the ESOS Act, CRICOS requirements, and NESA compliance frameworks.
- Experience or understanding of school campus management operations.
- Previous experience in a school or education environment.
- Familiarity with government reporting processes.
