Accounts/Service Coordinator

Company: Recruit Right WA Location: Canning Vale, Perth WA Work Type: Full-time Salary: $65,000 – $75,000 per year

Recruit Right WA is seeking an organised and proactive Accounts/Service Coordinator for a growing industrial services business in Canning Vale. This is a full-time, onsite role reporting directly to the Managing Director.

This varied position combines accounts administration, service scheduling, customer service, and job coordination to ensure the efficient operation of the business. The company provides crane servicing, inspections, maintenance, repairs, installations, and lifting equipment solutions to industrial customers throughout Western Australia.

Key Responsibilities:

  • Accounts Administration (Xero):
  • Processing customer invoices and credit notes.
  • Managing accounts payable and receivable.
  • Performing bank and credit card reconciliations.
  • Monitoring outstanding accounts.
  • Maintaining accurate financial records.
  • Supporting month-end reporting and external accountants.
  • Undertaking general accounts administration.
  • Service Coordination (AroFlo):
  • Scheduling technicians for servicing, inspections, repairs, and breakdowns.
  • Coordinating daily work schedules.
  • Creating and maintaining jobs within AroFlo.
  • Monitoring outstanding jobs and following up on documentation.
  • Liaising with technicians to ensure efficient job completion.
  • Updating customers on job progress.
  • Customer Service & Administration:
  • Acting as the first point of contact for customer enquiries.
  • Booking service work.
  • Preparing service documentation.
  • Assisting with quotations and purchase orders.
  • Maintaining customer and supplier records.
  • Performing general office administration.
  • Purchasing & Supplier Coordination:
  • Ordering parts and materials.
  • Raising purchase orders.
  • Coordinating deliveries.
  • Following up with suppliers.
  • Matching invoices and purchase documentation.
  • Assisting with inventory and purchasing administration.

About You:

To be successful in this role, you will possess:

  • Previous experience in accounts administration, service coordination, or office administration.
  • Strong working knowledge of Xero.
  • Excellent organisational and time management skills.
  • Outstanding customer service and communication skills.
  • High attention to detail and accuracy.
  • Confidence in managing multiple priorities.
  • Intermediate Microsoft Office skills.
  • The ability to work autonomously while supporting a busy team.

Highly Regarded:

  • Experience using AroFlo or a similar job management system.
  • Experience within industrial services, trades, engineering, maintenance, or construction.
  • Accounts Payable and Accounts Receivable experience.
  • Purchasing or procurement experience.
