Admin & Accounts Assistant
Private Advertiser seeks an organised, detail-focused individual with some accounts experience for a full-time, onsite role in Thomastown. This position offers genuine variety within a growing Melbourne-based food manufacturer, where you will play a key role in supporting finance, sales, purchasing, production, and warehouse operations.

About the Role Reporting to the management team, you will provide day-to-day administrative and accounts support to ensure smooth business operations. This role is suited for an organised, proactive individual, confident communicating with customers and suppliers, and comfortable managing a mix of office, finance, and operational tasks. You will collaborate closely with internal teams across finance, sales, purchasing, production, and warehouse operations, making good communication skills and attention to detail important.
What You’ll Be Doing
- Providing administration support across finance, sales, purchasing, production, and warehouse teams.
- Coordinating with warehouse, production, and freight providers to support dispatch and logistics.
- Responding to customer enquiries by phone and online, including fundraising sales enquiries.
- Assisting with eCommerce administration, third-party logistics coordination, and freight follow-up.
- Utilising Excel for costings, reporting, and basic analysis.
Accounts Support
- Processing supplier invoices in MYOB AccountRight.
- Matching purchase orders, delivery dockets, and supplier invoices.
- Reconciling supplier statements and assisting with invoice discrepancies.
- Raising customer invoices and credit notes.
- Processing customer receipts and allocating payments.
- Following up outstanding customer accounts when required.
- Maintaining accurate accounting records and filing systems.
Administration and Operations Support
- Receiving sales orders and liaising with production regarding production and dispatch requirements.
- Processing incoming and outgoing mail, couriers, and emails.
- Maintaining office presentation, organisation, and stationery stock control.
- Assisting in the retail shop as required.
Purchasing and Production Support
- Assisting with purchasing raw materials and packaging as required.
- Confirming receipt of ordered raw materials and packaging.
- Supporting accounts receivable and accounts payable processes.
- Helping ensure production orders are completed on time through accurate administration and follow-up.
What We’re Looking For
- Previous experience in administration and accounts support.
- Exposure to MYOB (AccountRight ideally) or a similar accounting system.
- Understanding of accounts payable and accounts receivable processes.
- Good working knowledge of Microsoft Office, including Excel, Word, and Outlook.
- Clear written and verbal communication skills.
- Strong attention to detail and accuracy.
- Organised and reliable, with the ability to juggle multiple tasks.
- A positive, can-do attitude and a willingness to keep learning.
Salary: $80,000 – $90,000 per year Work type: Full-time Location: Thomastown (onsite)
