The Team Shine Lawyers has a strong national Class Actions presence, dedicated to securing justice for clients in prominent class actions, including PFAS contamination matters. The team is led by an experienced Head of Class Actions and supported by Practice Leaders, Special Counsels, Senior Associates, and other legal professionals.
The Opportunity Following a promotion, we are seeking an experienced legal Administration Assistant / Paralegal for a full-time, on-site role at our Melbourne CBD office. You will support the Legal team with a range of active matters and investigations, including claims related to pharmaceuticals, medical devices, pesticides, and environmental contamination, as part of Australia's leading plaintiff firm in this area. With empathy, adaptability, and initiative, your responsibilities will include:
- Acting as the initial point of contact for administrative inquiries from the Melbourne CBD-based Class Actions team.
- Providing administrative support to the Legal team and assisting them in using internal systems more efficiently, including support with data cleanses for class actions.
- Managing expenses, including credit card reconciliation and invoice payments.
- Organising functions, training sessions, and other work-related events, including making travel and accommodation arrangements for attendees as needed.
- Handling confidential information with discretion and professionalism.
- Assisting with client management, including resolving complaints.
- Providing ad hoc assistance at Court during trial periods to support the Class Actions team.
- Proactively offering chargeable and non-chargeable support to the Legal team with general administrative duties, from file opening to closure, to help achieve maximum compensation for clients.
While we are prioritising applicants seeking full-time employment, we are open to considering flexible working arrangements for applicants seeking a minimum of four days per week for the right candidate.
What You’ll Bring
- Experience in a similar administrative operations role is essential.
- Experience in similar professional services organisations (e.g., legal, accounting) is essential.
- Accurate typing skills with intermediate Word and Excel skills.
- A keen eye for detail in document management and collation.
- Strong verbal and written communication skills.
- Availability to work on-site at our Melbourne CBD office, Monday to Friday, 8:15 am to 5:00 pm.

Salary: Competitive base salary + superannuation.
