Administration Assistant - Disputes & Insolvency

McInnes Wilson Lawyers Pty Ltd in Brisbane, QLD, is seeking a full-time Administration Assistant to join its Disputes & Insolvency team. This onsite position offers on-the-job mentoring, training, and support, with a focus on developing individuals within the legal profession. The role is ideal for a diligent, customer-centric individual who enjoys collaboration and wishes to advance their professional and legal career.

The Role This position is designed for an individual with transferable administrative experience, seeking an entry-level opportunity within legal practice. Essential qualities for this role include accuracy, attention to detail, and professionalism, as you will support the legal team and ensure timely document preparation. While prior experience is not a prerequisite, a high level of attention to detail, motivation, and a commitment to learning are paramount. The firm is interested in your strengths, ambitions, potential contributions, and career aspirations.

Responsibilities include:

  • Preparing basic legal documents and correspondence.
  • Preparing and issuing monthly tax invoices.
  • Processing receipting and payments.
  • Filing documents with the Courts.
  • Scheduling meetings and organising calendars.
  • Diary management.
  • File management, including saving emails and correspondence to files.
  • Directing telephone enquiries.
  • Liaising with stakeholders, including clients, Lawyers, Barristers, and Principals.
  • Opening new files and undertaking conflict searches.
  • Archiving files.
  • Mailing out documents.
  • Undertaking other general administrative tasks as required.

Role Requirements As this is a junior role, prior experience may not be expected. Key attributes sought are a high level of attention to detail, motivation, and commitment to learn. Additionally, candidates should possess:

  • Outstanding time management skills and a strong commitment to consistency.
  • A natural inclination for taking initiative.
  • The ability to be a self-starter while also thriving in a collaborative work environment.
  • Confidence in building lasting relationships with colleagues and clients.
  • In-depth knowledge and understanding of the Microsoft 365 suite, along with a natural flair for technology.
