Administration Assistant

Qld All Trades is a residential building company with over 20 years of experience, specialising in insurance repairs. We service the greater Brisbane region, including the Gold Coast and Sunshine Coast, from our Beenleigh base. Our dynamic team of skilled professionals is recognised for quality service. We are seeking a confident Administration Assistant to provide support to our busy office and ensure smooth operations.

This is a varied role involving high-level administrative support, assistance with the initial stages of claims, and serving as a professional first point of contact for clients, insurers, trades, and colleagues.

About the Role You will play a key part in managing the end-to-end flow of jobs. Your responsibilities will include handling communications, assisting estimators and supervisors, and maintaining accurate and up-to-date paperwork to ensure seamless workflow.

Key responsibilities include:

  • Acting as a professional first point of contact via phone, email, and mail.
  • Entering new jobs into the system and making initial client contact calls.
  • Liaising with homeowners, insurance companies, loss adjusters, and trades.
  • Coordinating inspections and booking appointments.
  • Proofreading and submitting reports, scopes of work, and variations.
  • Preparing and sending contract paperwork.
  • Monitoring critical dates and ensuring updates are provided in line with KPIs.
  • Providing general office support, including filing, generating reports, preparing presentations, setting up for meetings, ordering supplies, and making travel arrangements.
  • Supporting other departments as required.

What You’ll Bring

  • Prior administrative or reception experience in a fast-paced environment.
  • A professional and confident phone manner with excellent communication skills.
  • Strong organisational and time management skills with the ability to manage competing priorities.
  • High attention to detail and accuracy, particularly in data entry and document preparation.
  • Intermediate knowledge of Microsoft Office (Word, Excel, Outlook).
  • A proactive, reliable, and accountable attitude, taking pride in your work.
  • A friendly, approachable, and positive mindset with a willingness to learn.
  • Common sense, good judgement, and the ability to remain calm under pressure.
