Administration Assistant – Solar & Battery Industry

We are seeking a highly organised and proactive Administration Assistant to bolster our operations team and assist in managing the administration of solar and battery projects from the point of sale through to their successful installation and completion.
About the Role This is a varied and valuable position that plays a crucial role in ensuring the efficient delivery of our projects. You will collaborate closely with our sales team, installation crews, suppliers, and customers to coordinate the administrative facets of each project.
Key Responsibilities
- Processing DNSP applications and overseeing their approvals.
- Preparing and submitting STC assignments and incentive applications.
- Preparing and lodging Solar Victoria rebate and interest-free loan applications.
- Scheduling installations and coordinating daily job allocations.
- Ordering equipment and materials from suppliers (procurement).
- Maintaining and updating our CRM and job management systems.
- Coordinating with customers regarding installation dates and project progression.
- Liaising with distributors, retailers, suppliers, and manufacturers.
- Monitoring project progress and ensuring documentation is complete.
- Preparing compliance and project documentation.
- Managing incoming phone calls, emails, and customer enquiries.
- Maintaining accurate electronic records and filing systems.
- Providing general administrative support to the management team.
About You To be successful in this role, you will possess:
- Previous experience in an administration or office support capacity.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Strong computer skills, including proficiency in Microsoft Office.
- The ability to manage multiple tasks and meet deadlines.
- A proactive attitude coupled with excellent problem-solving skills.
- The ability to work independently and as part of a team.
Preferred (Not Essential) Experience in any of the following areas will be highly regarded:
- Solar and battery industry administration.
- DNSP applications.
- Solar Victoria rebate applications.
- STC processing.
- Procurement and supplier coordination.
- CRM or job management software.
- Electrical or construction industry administration.
Should you not have experience in the solar industry, this is acceptable. Comprehensive training will be provided to the suitable candidate. We value a positive attitude, strong organisational skills, attention to detail, and a willingness to learn.
