Administration Coordinator - Sport and Aquatic Centre

U@MQ is seeking an experienced Administration Coordinator to join the Macquarie University Sport and Aquatic Centre (MUSAC) team. This is a full-time, permanent role operating onsite at the Wallumattagal Campus in North Ryde, Dharug land. The salary offered is 12% superannuation.

The Opportunity This is a diverse and hands-on role with a leadership focus. You will be responsible for:

  • Overseeing and coordinating all financial administration processes, including direct debits, invoicing, billing, debt management, and reporting.
  • Leading, supervising, and coaching the administration team to build their capability and deliver high-quality, consistent service.
  • Supporting the development and implementation of pricing schedules that align with business and audit requirements.
  • Managing escalated administrative and customer issues, ensuring they are resolved in a timely and effective manner.
  • Continuously reviewing and improving systems, processes, and procedures to enhance efficiency and customer outcomes.
  • Providing expert guidance on sensitive and confidential administrative matters across the business.
  • Maintaining a strong understanding of MUSAC programs, services, fees, and terms & conditions.
  • Contributing to Diversity, Equity, Inclusion and Belonging (DEIB) initiatives that support an inclusive and welcoming environment.
  • Ensuring compliance with EEO, WHS, and governance requirements.

About You You are a proactive and solutions-focused professional with strong administrative leadership experience. You bring:

  • A relevant tertiary qualification and/or extensive experience in administration, operations, or customer service.
  • Proven experience leading, supervising, and developing high-performing teams.
  • Strong financial administration experience, particularly within a complex or membership-based environment.
  • Demonstrated ability to improve processes and drive continuous improvement initiatives.
  • Experience working within governance and compliance frameworks.
  • Strong analytical skills, with experience in data reporting and business insights.
  • Excellent communication, organisation, and stakeholder management skills.
  • High attention to detail and the ability to manage competing priorities.
  • Demonstrated proficiency in Microsoft Office applications including Excel, Word, Outlook and PowerPoint.

This role requires a criminal history check and a First Aid and CPR certificate.

About Us Macquarie University Sport and Aquatic Centre (MUSAC) is a multi-purpose venue offering health, fitness, aquatic, and sporting programs to the university and wider community. Facilities include a 6-lane heated indoor pool, an 8-lane outdoor heated Olympic-sized swimming pool, a fully equipped health club, group fitness classes, squash courts, gymnastics/aquatics programs, and social sports. Macquarie University Sport Fields operates 7 days a week, featuring 5 professional playing fields, stadium lighting, canteen and BBQ areas, and change rooms.
