Queensland Mines Rescue Service Limited, an internationally recognised organisation delivering emergency response services to the Queensland coal industry, is expanding its operations and seeks a motivated and experienced Administrator to support a small, high-performing operational team.
The organisation's capabilities include a world-class, fully integrated emergency response system for surface and underground coal mines, training of underground coal mine rescue teams and surface Emergency Response Teams, maintenance and specialist training in surface and underground rescue equipment, development and implementation of emergency response procedures and strategies, a Mine Event Management System (MEMS), and an operational jet inertisation capability unique in Australia.
The successful applicant will demonstrate strong interpersonal skills, a flexible and proactive approach to diverse tasks, and a high level of accountability and professionalism.
Key Functions and Duties:
- Liaise with external stakeholders and operational personnel, acting as a key point of contact for industry stakeholders, mine sites, and internal operations staff to ensure clear communication, timely information flow, and effective coordination of administrative requirements.
- Process and maintain training records, accurately recording, updating, and maintaining training data to ensure compliance with regulatory and RTO requirements, including filing, tracking competencies, and ensuring documentation is current and audit-ready.
- Perform accurate data entry and records management, entering and maintaining operational and administrative data with a high level of accuracy, ensuring records are well organised, secure, and easily retrievable.
- Undertake accounts processing, including purchase orders, accounts payable and receivable, reconciliations, and general accounts administration, managing day-to-day financial administration tasks, ensuring timely processing of invoices and payments, maintaining accurate financial records, and supporting internal financial controls.
- Maintain strong attention to detail, demonstrating a consistent focus on accuracy, completeness, and quality across all administrative and financial tasks, particularly in high-compliance environments.
- Hold a current driver's licence and have access to a reliable vehicle, maintaining the ability to travel as required for operational or administrative purposes.
Role Requirements and Essential Criteria:
- Problem-solving skills: Essential ability to use initiative, assess issues, and identify practical solutions in a busy administrative environment.
- Facilities coordination and planning: Ability to assist with sourcing services, coordinating works, and planning activities to help maintain a range of facilities across a large geographical area.
- Professional telephone manner: Clear, confident, and courteous communication with stakeholders and staff.
- Strong time management skills: Ability to prioritise tasks and meet deadlines in a small team environment.
- Proficient in Microsoft Office: Competent in Word, Excel, and Outlook for daily administrative tasks.
- Previous administrative experience: Demonstrated experience providing reliable and accurate administrative support.
- Police check: Ability to obtain and maintain a satisfactory police check.
- Travel requirement: Ability to travel for major events, including competitions and presentations, and to other QMRS facilities as required.
Desirable:
- Bookkeeping experience, including exposure to accounts processing and reconciliations.
- Experience managing RTO training records and compliance documentation.
- Experience using accounting or training management systems.
- Certificate III in Business Administration (or equivalent qualification).
Work Conditions:
- A 7/7 roster applies.
- Standard working hours are 7:00 am to 5:00 pm, including a one-hour paid lunch break each shift.
- Six weeks' annual leave.
- This position is based in Dysart, QLD. The successful applicant is required to live locally or have access to their own local accommodation. No accommodation is provided.
