Administration Officer - Building Certification
proteqt is partnering with a well-established Building Surveying and Compliance consultancy to find an Administration Officer. This consultancy provides Building Surveying and Compliance services for a varied portfolio including commercial buildings, aged care facilities, schools, airports, and major developments across Western Australia. They are known for delivering exceptional service and technical expertise and are seeking an enthusiastic Administration Officer to join their team.
This role involves being the first point of contact for the business, creating a positive impression for clients, and providing essential administration support to their Building Surveyors and technical team. Reporting to the Operations Manager, your responsibilities will include front-of-house coordination, project administration, and ensuring the smooth progression of building certification projects from initial enquiry to completion.
The ideal candidate will be organised, customer-focused, and comfortable working in a busy professional environment.
The following are ideally required:
- 1-2+ years of experience in a reception, administration, or front-of-house role within a professional services setting.
- Outstanding customer service, communication, and interpersonal skills, with the confidence to engage professionally with clients, consultants, and stakeholders.
- Excellent organisational skills, attention to detail, and the ability to manage multiple priorities in a busy office environment.
- Experience supporting a team with general administration, document management, and office coordination.
- Intermediate Microsoft Office skills, including Word, Excel, and Outlook.
- A positive, proactive attitude with a willingness to learn and contribute to a collaborative team.
Experience within Building Certification, Construction, Engineering, Architecture, Local Government, or another technical or professional services environment will be highly regarded.
A Certificate III or IV in Business Administration, or a Certificate IV in Business, is desirable. Relevant administration experience will also be considered.
Key Responsibilities:
- Welcome clients and visitors, managing incoming calls, emails, and enquiries.
- Coordinate meeting rooms, calendars, office administration, and company events.
- Prepare and maintain project documentation, certification records, and electronic files.
- Provide administrative support to Building Surveyors throughout the certification process.
- Prepare statutory certificate documentation for clients, consultants, and local authorities.
- Assist with permit documentation, compliance reporting, and data entry.
- Maintain office supplies, records, and document control systems.
