About the Role: The Administration Officer, Finance provides essential administrative and clerical support to the Finance department. This role serves as the initial point of contact for staff seeking assistance from Finance and Fleet services. Reporting to the Finance Manager, this position does not involve supervisory responsibilities. The role requires close collaboration with other finance team members and regular engagement with other program staff to achieve effective client outcomes.
Key Responsibilities:
- Monitor Finance function email inboxes, responding to, actioning, or appropriately escalating enquiries in a timely manner.
- Administer the organisation’s petty cash and client brokerage voucher system accurately and promptly, including issuing funds, maintaining records, processing transactions, and preparing reconciliations for review.
- Support the Senior Payroll and Finance Officer in coordinating the fleet function as directed, which may include assisting with fleet vehicle bookings and enquiries, onboarding new staff to relevant systems and processes, coordinating vehicle cleans, maintaining car packs, and conducting daily inspections of the fleet station and vehicles.
- Coordinate corporate travel arrangements for staff, including booking flights, accommodation, and transport, preparing travel documentation, and processing travel allowance documentation in line with organisational procedures.
- Manage office and storeroom supplies by monitoring stock levels, undertaking stock takes, ordering supplies, receiving deliveries, and ensuring storage areas are organised and adequately stocked.
- Provide administrative and clerical support to the Finance team, including maintaining electronic and physical records, scanning, filing, and uploading saved documents.
- Assist the Finance team with routine financial administration activities such as data entry, transaction processing, maintaining supporting documentation, and undertaking other administrative tasks as directed.
- Undertake projects and tasks under the supervision and guidance of more senior members of the Finance team.
- Gather and record statistical data relevant to measuring performance against agreed indicators, and participate in review and evaluation activities.
- Engage in organisational and community activities to advance the health and wellbeing of Aboriginal and Torres Strait Islander people.
- Adhere to Wuchopperen’s Policies and Procedures, including the Staff Code of Conduct and Work Health and Safety requirements, and contribute to continuous improvement processes to ensure compliance with relevant standards and safe, effective service delivery.
