Administration Officer
Total Dealer Pty Ltd is seeking an Administration Officer to join their team in Brisbane, QLD. This is a full-time, onsite position with a salary of $70,000 per year.

The Role: This is a hands-on, office-based role within the Finance function. The Administration Officer will support the Finance team with daily transaction and expense administration, manage the SaaS supplier register, and oversee travel and expense processes. The role also involves providing backup office management support and undertaking ad hoc administrative tasks. This position is suited for an individual who is detail-oriented and capable of managing multiple registers and processes concurrently.
Responsibilities:
- Support the Finance team in resolving unreconciled transactions and auditing credit card spend against Xero.
- Manage the end-to-end SaaS supplier register, including contracts, renewals, seat audits, and access controls.
- Oversee the travel and expense process, ensuring staff submissions meet Finance's documentation requirements.
- Provide backup office management support, including managing office supplies, swipe card access, and facilities contacts.
- Assist with desk booking, meeting room management, and general office administration.
- Undertake general administrative tasks and correspondence as directed by the Head of Finance.
What We're Looking For:
- Experience in a finance administration, operations, or business administration role.
- Accounts payable, accounts receivable, or similar finance administration experience is highly desirable.
- Strong organisational skills and the ability to manage multiple registers and processes with accuracy.
- Familiarity with SaaS tools and subscriptions, including managing access and vendor relationships.
- An understanding of basic finance and expense processes, including audit-readiness and tax compliance.
- A flexible, can-do attitude, with a willingness to step in and support various functions when needed.
- A confident communicator, comfortable liaising with internal teams and external suppliers.
