Administration Officer - Waroona Sub Centre
St John Ambulance WA, a not-for-profit organisation serving Western Australia since 1922, is seeking an Administration Officer for its Waroona subcentre. St John WA operates as an integrated healthcare provider, delivering emergency services, urgent care, and health education across the state. With over 8,000 employees and volunteers, the organisation is dedicated to positively impacting the safety, wellbeing, and health of all Western Australians.
This permanent part-time role involves 15 hours per week, scheduled for Tuesdays and Thursdays, with potential flexibility. The position requires the incumbent to perform a range of administrative duties for the district office while consistently delivering a high standard of customer service to both internal and external stakeholders.
Responsibilities:
- Provide a high level of support to internal and external customers.
- Direct, process, and action queries and communications in a timely manner to meet district and customer requirements.
- Process invoices and local customer payments as required for the district.
- Support the district office with tasks including bank reconciliations, placing orders, accounts payable duties, head centre account queries, and outstanding debtor follow-up.
- Assist with First Aid Training, Sales, and Services of First Aid Kits.
- Support the Regional Finance Coordinator with End of Month processing and financial/audit inquiries.
- Undertake accounts duties including:
- Creditor Accounts: Prepare purchase orders, process payments, and scan invoices.
- Bank and investment reconciliations.
- Receipting of customer payments.
- Liaise with debtors, customers, and sponsors to ensure timely receipt of payments.
- Conduct day-to-day banking.
- Ensure transactions are accurately recorded and entered into the computerized accounting system.
- Maintain financial files and records.
Requirements:
- Proven administration and data entry experience.
- Previous experience conducting Accounts Payable and reconciliation tasks.
- Ability to work autonomously.
- Attention to detail and problem-solving skills.
- Proficiency in MS Office Suite.
- Established data entry skills.
- Excellent written and verbal communication skills.
