We are seeking an enthusiastic and detail-oriented Administrative Assistant to join our Melbourne team on a full-time, onsite basis. This is a practical administration position providing crucial support to our various teams. It is best suited for an individual who enjoys administrative tasks, delivering excellent client service, and collaborative work. Responsibilities:
- Manage all incoming work requests via email, liaising with clients to secure necessary matter information, documents, and file access.
- Initiate new files for incoming work requests within our practice management program, and update existing file details or client cards as needed.
- Issue Terms of Engagement and invoice clients for new matters when required.
- Support workflow coordination, including communication with costing and administration teams, and maintain workflow spreadsheets.
- Undertake reception duties, such as screening incoming calls and emails and directing them appropriately, responding to queries, accepting deliveries, and greeting visitors.
- Handle mailroom tasks, including arranging couriers for the return of physical files to clients.
- Collate disbursement invoices and scan notes into our file system.
- Assist with document editing, proof-reading, cross-checking, and formatting, and occasionally send out assessments to clients.
- Provide assistance with audio transcription on occasions.
- Offer support and coverage for the administration team during periods of leave or absence, ensuring operational continuity and efficiency.
- Perform general administrative duties, such as ordering stationery and stocking the kitchen.
- Undertake ad-hoc duties as required.
Requirements:
- A positive attitude and strong work ethic.
- Excellent communication skills, both verbal and written.
- Highly organised with meticulous attention to detail.
- Ability to work independently and as part of a team.
- Capacity to work in a fast-paced environment, manage multiple tasks, and balance competing deadlines.
- Strong computer skills, including proficiency in Microsoft Office, with good typing speed and accuracy.
- Experience in a similar role will be well regarded, but is not essential.
