4 Life Physiotherapy is seeking an organised, proactive, and people-focused Assistant Office Manager & HR Coordinator to join our expanding team. Position Details
- Part-Time: 3 days per week
- Location: Mandurah & Peel Region, WA
About the Role As our Assistant Office Manager & HR Coordinator, you will offer operational support across various business functions and serve as a primary support contact for our administration team.
Your responsibilities will encompass:
Operational & Administration Support
- Coordinate clinic inventory and assist with ordering clinical and office supplies.
- Assist with the onboarding and induction process for new team members.
- Maintain staff records and HR documentation.
- Monitor and track compliance requirements, including AHPRA registrations, Working with Children Checks, NDIS Worker Screening Checks, professional indemnity insurance, and other mandatory credentials.
- Maintain and update compliance documentation for organisations with whom we contract.
- Manage patient feedback and enquiries professionally, ensuring appropriate follow-up.
- Assist with the development and improvement of administrative systems and procedures.
Leadership & Team Support
- Assist the Administration Manager with coordinating administration staff rosters.
- Provide day-to-day supervision and support to our administration team.
- Act as a point of escalation for reception and administration staff.
- Support leave management by processing and coordinating staff leave requests alongside clinical rosters.
- Foster a positive, supportive, and professional team environment.
About You We are looking for an individual who is organised, confident, approachable, and enjoys supporting both people and processes.
Ideally, you will bring:
- Previous experience in a senior administration, team leader, office management, or practice coordination role.
- Experience supervising or mentoring staff.
- Experience with HR administration, onboarding, and employee documentation.
- Excellent organisational skills with exceptional attention to detail.
- Strong leadership and interpersonal skills.
- Excellent written and verbal communication skills.
- The ability to work independently while collaborating effectively within a team.
- Confidence using Microsoft Office and learning new software systems.
Highly regarded:
- Experience working within an allied health, medical, specialist, or NDIS environment.
- Experience using practice management software.
- Knowledge of compliance and credential management processes.
