About the Role
An opportunity exists for a Base Administrator to join our growing team in Karratha. This role is suited for an organised and proactive individual looking to develop administration and facilities coordination skills within a fast-paced aviation setting. It presents a strong avenue for career progression within a supportive and collaborative environment.
Reporting to the Base Manager, this is a hands-on position focused on base administration and providing essential support for efficient operations.
Key Responsibilities
- Serve as the initial point of contact for all external enquiries via phone, email, or in person, directing them as appropriate.
- Provide administrative assistance, including filing, archiving, taking meeting minutes, and supporting other departments.
- Maintain accurate personnel records, including contact details and staff recency data within Air Maestro.
- Arrange onsite accommodation for visiting crew and personnel, and liaise with accommodation providers regarding bookings and maintenance.
- Schedule and conduct PHI inductions for new personnel, visitors, and contractors arriving at the base.
- Monitor access to airside areas in accordance with Karratha Airport procedures, ensuring a 100% induction standard is maintained.
- Manage accommodation bookings for crew and visitors, coordinating with providers as necessary.
- Maintain notice boards, ensuring information is current and regularly reviewed.
- Issue purchase orders according to Company Policy, maintain records, match orders to invoices, and forward accounts for payment.
- Order and maintain adequate stock levels for stationery and amenity supplies.
Requirements for this Role
- Good communication skills and a willingness to learn.
- A proactive, professional demeanour with a strong customer-facing approach.
- Must possess or be eligible to obtain an ASIC card.
- Strong computer literacy with the ability to learn PHI systems.
