Bookkeeper & Office Manager - Civil Construction

Sanning Pty Ltd is an established and expanding civil construction firm in Western Australia, undertaking a variety of infrastructure and commercial projects. We are seeking a capable and proactive individual to fill the dual role of Bookkeeper and Office Manager.
About the Role:
This position is hands-on, managing the daily financial and administrative functions of the business. It requires a strong focus on compliance, accuracy, and effective office operations, supporting a busy team and contributing to smooth operational performance.
Key Responsibilities:
- Financial Management:
- End-to-end accounts payable and receivable.
- Bank and credit card reconciliations.
- Payroll processing, including superannuation, STP, and leave entitlements.
- BAS, IAS, and PAYG preparation and lodgement.
- Monthly financial reporting and reconciliation.
- Assisting with budget tracking and job costing.
- Maintaining up-to-date records using MYOB.
- Office & Administration Management:
- Manage day-to-day office operations and supplies.
- Maintain registers for insurance, plant & equipment, staff training/licensing, PPE, and certifications.
- Coordinate staff clothing and uniform orders, maintain PPE registers.
- Assist in onboarding new suppliers and processing creditor applications.
- Provide administrative support for directors and project managers.
- Maintain cloud-based filing and document control systems (SharePoint/Office 365).
- Site & Workforce Support:
- Facilitate staff onboarding, police clearances, site inductions, and mobilisation.
- Maintain up-to-date skills matrix, licences, and training compliance.
- Track and manage warranty claims and service schedules for equipment.
- OHS & Quality Assurance Support:
- Maintain and update safety documentation (SWMS, policies, procedures, inductions, toolbox records).
- Support internal safety and quality audits.
- Assist with WHS reporting, incident registers, and close-out actions.
- Ensure compliance with ISO or client standards and assist with accreditation processes.
- Support document control systems for site and project-specific quality and safety requirements.
- Compliance & HR Support:
- Understanding and applying relevant industrial awards and EBAs.
- Managing payroll differences between casual, full-time, and flat-rate employees.
- Supporting HR administration, including onboarding, employment contracts, and compliance tracking.
- Liaison:
- Liaising with external accountants and suppliers.
About You:
- Minimum 3 years’ experience in a similar bookkeeping or finance role.
- Minimum 3 years’ experience in office management or senior administration within the construction or civil industries.
- Proficient in MYOB (essential).
- Strong understanding of payroll and award interpretation across different employment types.
- Strong knowledge of WHS, compliance, and quality assurance documentation.
- Knowledge of Australian workplace laws and modern awards.
- Experience in the construction or trades industry (highly desirable).
- Proficiency with Microsoft Office 365 including Outlook, Excel, Word, Teams, and SharePoint.
- High level of accuracy, organisation, and time management skills.

- Strong written and verbal communication.
- Excellent communication and problem-solving skills.
- Able to work autonomously, prioritise.
- Bookkeeping or accounting qualifications (preferred).
