Client Services Assistant
Eleven Plus Studio Pty Ltd is seeking a Client Services Assistant to join their team in Brisbane, QLD. This is a part-time, onsite position with a salary range of $60,000 – $70,000 per year.
Duties and Responsibilities
Administration
- Maintain the Client Database, including:
- Client additions
- Client deletions
- Receiving client records
- Checking the completeness of client records
- Returning client records
- Type client letters and reports.
- Manage all filing.
- Produce reports to assist with workload management.
- Assist in answering incoming telephone calls.
- Maintain accurate and detailed timesheets.
Operations
- Assist team members with a range of tasks, including:
- Acting as the first point of contact for client queries.
- Handling client and ATO correspondence.
- Fee preparation.
- Preparing checklists of information required for business clients prior to visitation.
- Reviewing and checking client source documents upon receipt against checklists.
- Contacting clients for missing information or general queries.
- Following up on missing information 5-10 days later if still not received.
- Logging each job on the Job Register and noting its status (incomplete or ready to commence).
- Collating standard work papers for accountants, including marking up last year’s comparatives on the work papers.
- Preparing draft job budgets based on last year’s costings, with assistance from a partner/manager.
- Monitoring Work in Progress (WIP).
- Monitoring BAS lodgements.
- Monitoring team workflow and maintaining team calendars.
- Advising clients on ABN and GST registration.
- Advising clients on PAYG instalment obligations.
- Advising clients on Personal Income Tax Assessments.
- Advising clients on Tax File Numbers.
- FBT completion procedures.
- Reviewing and forwarding client running balance accounts from the ATO.
- Printing and binding finalised annual financial statements, taxation returns, and other client reports.
- Incorporating companies.
- Completing annual company returns.
- Attending to all ASIC matters, including the completion of ASIC Forms.
- Monitoring work checklists to meet ATO due dates.
- Acting as the contact person for the ATO for all registrations, cancellations, portal problems, and assessment problems.
- Reviewing debtors at the end of the month and advising the debt collection person which clients require follow-up for payment.

Experience & Qualifications
- No formal qualifications are required.
- Experience in Australian accounting firms is essential.
- Candidates must demonstrate strong, practical experience in an office environment, dealing directly with professionals and their clients.
- Strong computer skills are a prerequisite.
