Job Description

Client Services Coordinator/Administration Assistant - Traineeship

Growth Team Accounting Pty Ltd is a Melbourne-based professional services firm specialising in accounting, tax, and strategic growth advisory. We are a small, ambitious, and rapidly expanding company. We are establishing a new trainee position for an individual at the commencement of their career who is eager for training, development, and growth.

This role offers a genuine career path, providing the opportunity to learn our systems, clients, and the "Growth Team way" from the ground up. You will be supported by a formal traineeship, hands-on AI training, and real mentoring, with the aim of developing into a full Client Services Coordinator. Growth, learning, and the utilisation of AI are central to this position.

Who You Are: You are at the beginning of your career and possess a strong desire to learn. You are approachable, enthusiastic, organised, and genuinely enjoy interacting with people. Prior accounting experience is not required; all necessary knowledge will be provided. Your key attributes are your attitude, curiosity, and a genuine drive for advancement. You are excited by AI and keen to learn its application for producing excellent work and improving client experience.

What Makes This Role Different:

  • Growth Focus: You will be supported by a formal traineeship leading to a nationally recognised qualification, incorporating structured study and external training.
  • AI Integration: You will receive training to use and promote AI across client services and the firm.
  • Mentorship: You will be guided by our EA and leadership team, with structured support, daily interactions, and dedicated guidance.
  • Defined Progression: You will commence as a trainee and advance to a full Client Services Coordinator, with increasing responsibilities and remuneration aligned with your developing value.

Day-to-Day Responsibilities: With training and support, you will learn to:

  • Assist in coordinating and tracking client work within our system (Karbon), ensuring progress, adherence to deadlines, and preventing oversight.
  • Serve as a welcoming initial point of contact, handling and directing calls, emails, and client inquiries with warmth and professionalism.
  • Prepare and manage client correspondence and documentation, maintaining an organised filing system.
  • Ensure the accuracy and currency of our systems, including Karbon, Xero, and XPM, alongside associated AI tools.
  • Schedule meetings, manage calendars, and support team organisation.
  • Assist with ASIC and ATO administrative tasks as you acquire the necessary skills.
  • Support accountants and the wider team to ensure operational efficiency and contribute to a positive client onboarding experience.
  • Participate in process creation and improvement initiatives.

Your Future Development: As your skills develop, you will undertake responsibilities such as ATO and ASIC liaison, corporate secretarial duties (company reviews, incorporations, trusts), and managing specific aspects of the client experience as a Client Services Coordinator.

Who We Are Looking For:

  • A self-starter who takes initiative and proactively identifies the next steps to ensure smooth and efficient task completion.
  • An individual who enjoys optimising systems, constantly seeking ways to simplify, automate, and maximise the utility of available tools.
  • A genuinely personable individual with a warm, engaging, and personable demeanour, possessing strong written and verbal communication skills.
  • Organised and detail-oriented, capable of managing multiple tasks concurrently with accuracy and completeness.
  • Enthusiastic about AI and technology, demonstrating an aptitude for quickly learning new tools.
  • Driven by a desire for a career and continuous growth, receptive to feedback and committed to reciprocating the investment made in you.
  • No accounting experience is required; attitude, professionalism, personality, and potential are paramount. An interest in business or professional services is advantageous.
  • Ideally located within a 30-minute commute to Chadstone.
  • Proficiency in Microsoft Office programs is preferable.

Benefits:

  • Paid Study and Formal Traineeship: Investment in your nationally recognised qualification and ongoing training.
  • Practical Experience: Gain hands-on experience working alongside our leadership team.
  • AI Training: Learn to utilise cutting-edge AI tools to enhance efficiency and effectiveness.
  • Career Path: Clear progression from trainee to Client Services Coordinator with commensurate salary increases.
  • Flexibility: Initially in-office, with the potential for up to two days of remote work per week once established.
  • Team Environment: A social and supportive team with regular team lunches and social events.
  • Time Off: All public holidays and a focus on work-life wellbeing.
  • Location: Modern offices in Chadstone with convenient access to amenities.
  • Birthday Leave: An additional day off for your birthday.

Company Details: Growth Team Accounting Pty Ltd is a growing firm with significant ambitions and a corresponding culture.
