Divisional Support Officer

Department of Health - Queensland

Location: South Brisbane Work type: Full-time Work setting: Onsite

This role provides high-level, efficient, professional, and confidential executive administrative support to the Divisional Director and Divisional Leadership Team.

About the Role

In this position, you will deliver quality outcomes for children, young people, and families, aligning with the Children's Health Queensland Leadership Excellence Framework, the Queensland Public Service, and CHQ values. Your responsibilities will include:

  • Managing and coordinating the daily operations of the Office of Divisional Management and the Directorate to deliver focused services and achieve a high level of performance in a demanding executive and service delivery environment.
  • Assisting Directors/Managers with various ad hoc functions within the Department of Health at a state level and liaising with relevant stakeholders.
  • Organising, coordinating, and managing all administrative aspects of the relevant Divisional Directors professionally. This includes screening incoming calls, diary management, organising travel itineraries, coordinating education and planning days, coordinating recruitment processes, myHR payroll processes, and managing an effective office records management system.
  • Managing correspondence (official correspondence and administrative records) and email accounts. You will coordinate correspondence to ensure compliance with Queensland Health policy and timely completion of responses within designated and competing timeframes.
  • Performing secretariat functions for relevant high-level meetings by organising and scheduling meetings, sourcing and organising venues, equipment, stationery, video conferencing, seating, and catering as required.
  • Preparing, generating, and distributing relevant documents such as agendas, reports, and correspondence. You will coordinate attendance (staff, presenters, etc.) and manage confidential minute recording, distribution, and action tracking.
