We are seeking an EA/Senior Legal PA to provide support to our Leadership team, comprising the Managing Partner, CEO, and two Partners. This role also involves broader support for the entire team and the Canberra office. Key Responsibilities
- Partners
- Manage all inbox activity, including comprehensive filing.
- Proactively handle correspondence directed to Partners, coordinating subsequent actions and preparing draft responses.
- Oversee calendar and diary management, which includes coordinating meetings, arranging travel, booking venues, and preparing detailed itineraries.
- Draft and proofread emails and other correspondence.
- Manage filenotes.
- Assist with receipts and expenses.
- Support business development activities.
- CEO
- Act as a strategic gatekeeper, managing competing priorities and ensuring efficient use of the CEO’s time.
- Proactively coordinate CEO priorities and monitor the progress of firm-wide initiatives.
- Manage the CEO’s inbox and correspondence, including drafting responses and coordinating follow-up actions.
- Prepare briefing notes and background materials for key meetings and client engagements.
- Draft internal communications and firm announcements on behalf of the CEO.
- Handle highly confidential commercial matters with discretion and professionalism.
- Matter Management
- Produce, format, review, and finalise documents and contracts, including document protection.
- Assist with general administrative duties for the wider team, including document production, formatting, review, and finalisation.
- Support other functions critical to the efficient operation of matters.
- Assist Partners with the matter lifecycle as required, working closely with the support team to meet deliverables.
- Billing
- Assist Partners with billing management.
- Collaborate closely with the wider support team to manage team deliverables.
- Office Administration
- Undertake office management tasks to ensure the smooth operation of the Canberra office.
- Assist the Practice Manager as required.
