Role Overview

The Executive Assistant to the CEO holds a critical position, serving as the primary contact for the CEO's most senior executive relationship. This role transcends traditional administrative duties, functioning as an executive function in its own right. The successful candidate will act as a trusted extension of the CEO, managing the executive-level business rhythm and ensuring the CEO operates at full effectiveness.

A significant component of this role involves Board coordination, which is a core responsibility, not a peripheral task. The Executive Assistant will act as the operational hub connecting the CEO, the Board Chair, Non-Executive Directors, and the Company Secretary. This includes ensuring the Board cycle operates with precision, covering scheduling, logistics, materials, travel, and the day-to-day administrative mechanics that support good governance.

The position requires an individual capable of understanding situations intuitively, anticipating needs before they are articulated, managing competing priorities calmly, and navigating the political complexities of a listed company environment with discretion and maturity. As Nuix progresses its transformation agenda, the Executive Assistant to the CEO will support the Executive Leadership Team's (ELT) connectivity, the Board cycle's adherence to schedule, and the effective operation of the executive function.

Location The role is based in Nuix's Sydney CBD offices, requiring a 5-day per week presence.

Key Responsibilities

Executive Support - CEO

  • Manage a complex and dynamic calendar across multiple time zones, with full accountability for prioritisation and diary management.
  • Prepare the CEO for all engagements by providing briefing notes, pre-reads, talking points, and relevant context.
  • Draft, review, and triage correspondence on behalf of the CEO, applying sound judgment to determine what requires attention, can be resolved independently, or may be delegated.
  • Coordinate domestic and international travel, including detailed itineraries, logistics, visa requirements, and ground arrangements.
  • Manage the CEO's expenses, approvals, and administrative obligations accurately and promptly.
  • Proactively anticipate the CEO's needs, surfacing information, flagging potential risks to schedules or commitments, and resolving issues before they escalate.

Board Liaison This is a substantial aspect of the role. The Executive Assistant will provide primary administrative and logistical support for the Board, collaborating closely with the Company Secretary and the Board Chair’s office.

  • End-to-end coordination of all Board and committee meeting logistics, including scheduling, venue selection, catering, technology setup, and travel arrangements for Non-Executive Directors.
  • Track Board calendar deadlines across the ELT, following up to ensure timely submissions.
  • Manage Non-Executive Director scheduling, including meeting requests, director travel, pre-meeting logistics, and site visits.
  • Maintain a forward-looking view of the Board cycle, anticipating workload peaks and coordinating resources as necessary.
  • Handle all Board-related correspondence and communications with professionalism and complete confidentiality.

Executive Team Coordination

  • Coordinate the ELT meeting cycle, encompassing scheduling, agenda management, pre-read distribution, action tracking, and follow-through.
  • Manage the CEO’s direct engagement with ELT members, tracking commitments and ensuring nothing is overlooked.
  • Partner with ELT Executive Assistants and Team Assistants to maintain a coordinated executive support function across the business.
  • Support key leadership events, such as offsites, all-hands meetings, and Strategic Kick-Offs (SKOs), as required, in collaboration with People & Culture and Events teams.
  • Act as a central coordination point for cross-functional executive commitments, ensuring the CEO is briefed, prepared, and appropriately represented.

Success Metrics (first 12 months)

  • The CEO operates at full effectiveness, with diary and preparation managed to a high standard from the commencement of the role.
  • The Board cycle runs smoothly, with no missed deadlines and materials distributed on time.
