Executive Assistant Optus Macquarie Park Full-time Remote

This role offers high-level administrative support to two senior leaders and is suited for an individual who excels in a fast-paced environment, effectively manages competing priorities, and cultivates strong cross-team working relationships. You will be instrumental in ensuring our leaders operate effectively and efficiently, contributing to a collaborative, high-performing workplace.
Responsibilities:
- Manage complex calendars, coordinate meetings, arrange room and catering bookings, and ensure alignment with executive priorities.
- Prepare meeting materials, including agendas, presentations, and documentation. Attend meetings to capture actions as required.
- Support email management through prioritisation, filing, and tracking of follow-ups and responses.
- Coordinate domestic and international travel, accommodation, and conference logistics.
- Process expense claims, ensuring compliance with corporate policies and deadlines.
- Assist with onboarding processes, event coordination, property moves, and purchase order administration.
- Maintain team documentation, including organisational charts, distribution lists, and compliance tracking.
- Support broader team initiatives such as HR administration, reporting line changes, and internal communications.
Requirements:
- Excellent interpersonal and communication skills, with a professional and personable approach.
- High attention to detail and strong organisational skills.
- Ability to multitask, manage tight deadlines, and adapt to changing priorities.
- Strong technical proficiency across Microsoft Office and corporate systems.
- Discretion, confidentiality, and a proactive mindset.

- Proactive and responsive in managing critical requests with urgency and attention to detail.
