Executive Assistant to Vice President
HERBALIFE GLOBAL BUSINESS SERVICE CENTRE SDN. BHD. is seeking an Executive Assistant to the Vice President on a contract basis in Adelaide SA. This is an onsite role.
How You Will Contribute:
- Provide dedicated secretarial and administrative support to the VP. This includes arranging travel, visas, and accommodation. You may occasionally travel with the manager to take notes or dictation at meetings or provide general assistance during presentations.
- Screen phone calls, enquiries, and requests, handling them as appropriate.
- Liaise communications by managing the flow of information across team members and executive leaders, including summarizing reports and memos before dissemination.
- Maintain diaries, organise and manage schedules, make appointments, set up meetings, and maintain meeting agendas.
- Produce documents, briefing papers, reports, and presentations.
- Coordinate, monitor, and manage stakeholders for key business projects under APAC region's business strategies or Direct Selling Associate (DSA) activities. This includes overseeing projects and reporting on progress and resources, updating project records/trackers, mitigating risks, solving issues, scheduling meetings, and setting agendas for core/project teams. Key projects include Post-GM priorities and the Regional Strategy Plan.
- Coordinate all Corporate and Distributors’ conference calls, document minutes from all calls/meetings, and ensure timely proofing, approval, and circulation of minutes.
- Assist in regional events and/or other external affairs support to the regional management team in Singapore as and when required.
- You may be given ad hoc assignments and projects by Management, and any other relevant and related duties as may be assigned.
Skills and Background Required to Be Successful:
- Minimum Higher NTEC in Business Administration or related.
- At least 8 years of office, secretarial, and/or office administration experience in a multinational company or international environment.
- Good communication skills with fluent spoken and written English.
- Excellent PC skills, including MS Word, Outlook, Excel, Visio, and PowerPoint to an advanced level.
- Good administration and negotiation skills.
- Good organising, coordination, and communication skills.
- Excellent attention to detail, accuracy, and thoroughness.
- Mature, pleasant, well-organized, and self-motivated.
- Hands-on and willing to roll up sleeves to do the jobs.
- Good interpersonal and team player skills – strong customer service oriented.
- Knowledge of quality management and document control principles.
- Sound analysis and problem-solving skills.
- Able to work unsupervised on project tasks with appropriate accountability for results.
- Ability to work independently and has good initiative.
