Executive Assistant – True Business Partner to EGM
UGL’s Services division provides operations, maintenance, and asset management solutions for critical infrastructure and essential industries. We collaborate with clients in energy, transport, utilities, and defence sectors to ensure major assets operate safely and efficiently.
We are seeking an experienced Executive Assistant to support the EGM of our Services division, based in our Melbourne office on Southbank Boulevard. This is a permanent, full-time position that will maintain day-to-day operations while partnering closely with the EGM and playing a key role in supporting leadership priorities and business initiatives.
This role offers genuine partnership with a senior leader, moving beyond simply taking direction. It provides variety, encompassing diary and travel management, SLT coordination, and project involvement. There is an opportunity for growth into more strategic and business-facing work over time. About the Role You will manage a busy, forward-planned calendar; this leader prefers well-advanced scheduling. Coordination of frequent travel is a key aspect, alongside staying informed of priorities through regular check-ins. A strong preference exists for an individual who anticipates needs and ensures tasks are completed proactively. There is scope to support the Services leadership team, foster connections, and coordinate planning sessions. In time, you may undertake small projects, assist with new initiatives, and contribute to improving team collaboration.
Key Responsibilities
- Manage a complex, forward-planned diary with regular priority check-ins.
- Coordinate frequent interstate travel, including detailed itineraries planned well in advance.
- Liaise nationally to organise site visits, client meetings, and leadership schedules.
- Support leadership activities such as meetings, planning sessions, and presentations.
- Assist with business initiatives, maintaining information and supporting small projects as the role evolves.
