This is a notable opportunity to join the team at Village Roadshow Studios, contributing to operations within a dynamic and enjoyable setting. We are looking for an adaptable individual with experience across various sectors to support the operational needs of the Studios. This role encompasses a broad range of responsibilities including administration, maintenance, and OHS duties. A key aspect of this position will be addressing and resolving any issues or concerns that may arise.
Key Responsibilities
Your role will be instrumental in ensuring the smooth functioning of our Studios. You will be responsible for:
- Monitoring the Studios maintenance email and coordinating with the Facilities Manager and Production crew on requests, ensuring timely completion.
- Scheduling and overseeing preventative maintenance, and liaising with Production and Tenants onsite for access.
- Liaising with and scheduling contractors visiting the site.
- Updating fire system maintenance documentation.
- Providing general administration duties as required, which may include collecting and sorting mail, greeting visitors, responding to telephone and email enquiries, and maintaining kitchen supplies.
- Utilising knowledge of petty cash, PABX/Avaya phone systems, internal phone extension lists, and issuing security photo identification cards to assist the team when needed.
- Applying knowledge in raising purchase requisitions, sorting invoices/statements, receipting purchase orders, and completing EOM accounts and orders to assist the team when required.
- Assisting the Executive Operations Assistant, Studios President, and any other nominated representative with required tasks.
- Undertaking any other task necessary for the efficient running of the office and day-to-day operations with the maintenance team.
What We’re Looking For
We are seeking a highly organised and adaptable professional who excels in a fast-paced, dynamic environment. You will possess:
- Previous experience in administration or maintenance administration is essential.
- Previous experience in OHS and the construction industry is advantageous.
- Knowledge of building maintenance is advantageous.
- SAP experience is essential for issuing purchase orders and managing accounts.
- Strong Microsoft Office skills, including Word and Excel.
- Experience in Mobaro and iAuditor is advantageous.
- The ability to think on your feet, problem-solve, work under pressure, and demonstrate flexibility and adaptability.
- Excellent communication skills and the capacity to work effectively within a small team.
- A driver’s license is essential.
- The ability to work unsupervised and exercise initiative is required.
- Physical fitness is necessary, as manual tasks such as lifting and bending, and extended periods of walking around the site, will be involved.
