Executive Support Officer - Contract

Interchange Inc. is seeking a highly organised and professional individual to provide high-level administrative, executive, and governance support to the CEO, Executive Team, and Board. This contract position is offered on a six-month fixed-term, part-time basis, with a minimum of 25 hours per week (negotiable) and the possibility of extension. The role is onsite at our head office in Belmont.

This position is instrumental in:

  • Coordinating strategic and operational priorities.
  • Supporting governance and compliance processes.
  • Managing executive workflows and communications.
  • Facilitating effective decision-making and organisational alignment.

The role serves as a central liaison between leadership, stakeholders, and operational teams.

Key Responsibilities:

  • Provide high-level support to the CEO, Executives, and Board, including email and diary management.
  • Act as a central liaison between executives, Board members, staff, and external stakeholders.
  • Manage confidential, sensitive, and complex information while maintaining a high level of confidentiality.
  • Prepare briefings, reports, submissions, and board papers.
  • Coordinate and align executive priorities and deadlines, tracking key actions, deliverables, and follow-ups.
  • Coordinate Board and committee meetings, including collating Board and Governance Committee Packs.
  • Prepare agendas, minutes, and governance documentation.
  • Ensure compliance with governance frameworks and deadlines.
  • Prioritise competing demands with minimal direction.

What You’ll Bring:

  • Proven experience in an Executive Assistant or senior administrative role; supporting senior leaders or Board level is preferred.
  • Strong organisational and time management skills.
  • High attention to detail and the ability to manage competing priorities.
  • Excellent written and verbal communication skills.
  • Demonstrated discretion and the ability to handle confidential information.
  • Experience supporting governance processes; Board/committee support is highly regarded.
  • A proactive and solutions-focused approach.
