Fire Service Administrator & Works Coordinator

Location: Sydney (Alexandria), NSW Work Type: Full-time, Onsite

SWOT Fire Pty Ltd, a specialist Fire Protection company providing inspection, maintenance, repairs, installations, and compliance services across NSW, is seeking an organised, proactive Service Administrator & Works Coordinator to join its Sydney team. The company is experiencing growth and is based in Sydney and Newcastle.

This role is described as busy and varied, suitable for an individual with an eye for detail who enjoys coordinating people, solving problems, and ensuring timely job completion.

About the Role This is a hands-on position reporting to the NSW Operations Manager Sydney. The role is responsible for coordinating daily service operations and supporting small to large jobs/projects from commencement to completion.

Responsibilities include:

  • Scheduling technicians and subcontractors
  • Coordinating daily service and repair works
  • Managing work orders from booking through to completion
  • Liaising with customers regarding appointments and updates
  • Preparing quotations and assisting with minor project administration
  • Ordering materials and coordinating deliveries, including raising and tracking purchase orders
  • Ensuring service reports and documentation are completed accurately
  • Assisting with invoicing and job closure
  • Updating UPTICK (operational system)
  • Supporting the leadership team with general administration

About You The ideal candidate will enjoy being organised, possess an eye for detail, work well under pressure, and have a preference for ensuring efficient operations.

Requirements:

  • Previous experience in service coordination, scheduling, or project administration is ideal.
  • Excellent organisational and time management skills.
  • Strong customer service and communication skills.
  • Confidence using Microsoft Office and computer-based management systems.
  • Experience using Uptick is highly preferred, or strong experience with similar systems such as Simpro, Aroflo, Fergus, or ServiceM8.
  • Experience in fire protection, HVAC, electrical, plumbing, facilities maintenance, or another field-service trade environment will be highly regarded, but is not essential.
  • The ability to prioritise multiple tasks.
  • High attention to detail.
  • A positive, can-do attitude.
