About the Role. About You. Building something meaningful from the ground up requires courage, capability, and conviction. As Symbol’s Front of House, you are the first voice heard and the first face seen — the tangible expression of our hospitality philosophy before any care service is delivered. This is not a conventional reception role. At Symbol, our Lobby is the initial step in our Member’s journey, and how you manage it is important. You will bring warmth to every interaction, composure to every challenge, and genuine attentiveness to every person who enters our office or contacts us by phone and email. You understand that first impressions are lasting, and you take that responsibility seriously. You are organised, punctual, and instinctively proactive. You know how to manage competing priorities without it being evident. You are the type of person who notices when something is out of place and addresses it before anyone else does. And you do all of this with grace.
Where You'll Make Your Mark
- Create a welcoming and professional experience for any guest of our office space.
- Ensure the office space is presentable at all times.
- Efficiently answer, screen, and direct incoming phone calls and emails with professionalism and warmth.
- Receive and distribute mail, deliveries, and courier items.
- Schedule and coordinate appointments and meeting room bookings.
- Maintain visitor logs and issue visitor passes where required.
- Provide general administrative support including, but not limited to, data entry, filing, and document preparation.
- Liaise with internal teams to relay messages and coordinate service logistics.
- Ensure sufficient supplies are available for daily operations.
- Maintain a high standard of appearance and personal hygiene at all times by adhering to Symbol’s Grooming Guidelines.
- Support the Head of Hospitality and Service with day-to-day operations.
- Ad-hoc support for Symbol events or functions may be required outside of standard business hours.
The Experience You'll Bring
- Previous experience in a reception, administration, or customer-facing role (premium hospitality or healthcare preferred).
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (SharePoint, Outlook, Teams, Word, Excel, etc.).
- Professional presentation and interpersonal manner.
- Ability to manage competing priorities and remain calm under pressure.
- Discretion in handling confidential or sensitive information.
