Lead Project Administrator

About the Role
Radlink Communications seeks an experienced Lead Project Administrator to join our Malaga, WA team on a full-time, onsite basis. In this position, you will oversee administrative workflows and provide essential administrative and coordination support to the Project Management team. Reporting to the Program Manager, you will serve as a critical liaison between project teams, clients, suppliers, and internal stakeholders, ensuring effective communication and facilitating the smooth progression of projects.
Key Responsibilities
- Provide daily administrative assistance to Project Managers and project teams.
- Coordinate project documentation, scheduling, reporting, and record-keeping.
- Maintain project registers, job tracking, and filing systems.
- Support mobilisation and demobilisation processes, including travel, inductions, and accommodation arrangements.
- Coordinate project-related logistics, encompassing procurement, deliveries, and site requirements.
- Liaise with Service and Installation teams for the allocation of technicians and installers.
- Prepare reports for Project Managers as requested.
- Track outstanding invoices and assist with debtor follow-ups in conjunction with the Finance department.
- Assist with quote preparation and provide pricing support to Project Managers.
- Update the Personnel Leave Planner with project travel, training, and induction bookings as required.
- Organise meetings, training sessions, and catering as needed.
- Handle internal and external enquiries and redirect them appropriately.
Candidate Requirements
- A Certificate or Diploma in Business Administration, Project Management, or a related discipline.
- Demonstrated experience in project administration or office management, preferably in a lead or supervisory capacity.
- Proven ability to manage multiple complex projects and coordinate stakeholders effectively.
- Strong organisational skills with meticulous attention to detail and the capacity to prioritise competing demands.
- Excellent written and verbal communication skills, with the ability to convey information clearly to diverse audiences.
- Proficiency in Microsoft Office applications and project management software.
- Familiarity with project management methodologies and best practices is desirable.
- The ability to work independently while also contributing effectively as part of a team.
- A problem-solving mindset with a proactive approach to identifying and implementing improvements.
- A professional demeanour with strong interpersonal skills and the capacity to cultivate positive relationships.
