Maintenance & Administration Coordinator
Eight Recruitment is seeking a full-time, onsite Maintenance & Administration Coordinator for a leading independent supplier of ready-mix concrete solutions. This company serves Newcastle, the Hunter Valley, and surrounding regions. With approximately 70 employees, a fleet of 45 concrete trucks, and extensive plant and equipment, they have established a strong reputation for safety, reliability, efficiency, and ease of business.
This is a practical, hands-on role within a down-to-earth business environment. It requires enclosed shoes, a focus on safety, common sense, and a team-oriented approach. Your New Role
This is a varied, hands-on operational administration position. Your responsibilities will encompass payroll, HR, accounts payable, accounts receivable, asset management, stock control, and maintenance administration. Approximately half of your week will be dedicated to asset and maintenance coordination, supporting the fleet, plant, workshop stock, and the maintenance schedules essential for business operations.
Operating within the NHVR framework, you will be instrumental in organising the maintenance aspects of the business. This includes managing schedules, asset records, work orders, stock, purchase orders, and compliance information.
Key Responsibilities:
- Utilise MEX maintenance software for managing preventative maintenance schedules, work orders, and asset records.
- Generate purchase orders for parts, equipment, and supplies.
- Manage workshop stock, consumables, and parts inventory.
- Order stock weekly and assist with bi-annual stocktakes.
- Maintain asset records in accordance with internal maintenance and NHVR requirements.
- Monitor and correct time and attendance information using Timeminder.
- Process weekly payroll via Employment Hero and MYOB.
- Support payroll tax, superannuation, STP, and end-of-year reporting.
- Assist with accounts payable, including invoice review, tax coding, and account allocation.
- Maintain employee records, covering leave, onboarding, offboarding, and HR documentation.
- Provide support for workers' compensation and return-to-work administration as required.
- Offer general administration support across the business.
About You
You are an organised, practical, systems-savvy, and solutions-focused individual who enjoys problem-solving. You are capable of independently learning systems, utilising help resources, contacting support, watching tutorials, and researching to find solutions. A proactive "I will work it out" mindset is highly valued.
Essential Experience and Skills:
- Experience in administration, payroll, accounts, or operational support.
- Proficiency in Excel, Outlook, and general office software.
- Confidence in learning and using multiple software platforms.
- Experience with MYOB or another accounting program.
- Strong attention to detail, particularly concerning payroll, compliance, and record-keeping.
- Ability to manage competing priorities and work independently.
- A practical, proactive, and solutions-focused approach.
- Comfort working within an industrial, construction, mining, transport, or heavy vehicle environment.
