Key Responsibilities
- Front Desk & Workplace Experience
- Act as the initial point of contact for visitors, customers, and external stakeholders, ensuring a professional and welcoming environment.
- Manage reception duties, incoming calls, visitor registration, and meeting room coordination.
- Maintain a clean, organised, and professional workspace, while supporting office access and workplace security.
- Office Administration
- Oversee daily office administration and workplace operations across multiple office locations.
- Manage office supplies, facilities, equipment, mail, courier services, and vendor relationships.
- Support office leasing, fit-out, maintenance, relocation, and workplace improvement projects.
- Assist with purchasing, invoices, and office-related budgets as needed.
- Executive & Business Support
- Provide administrative support to senior management, including calendar management, travel arrangements, and meeting coordination.
- Assist with expense claims, reimbursement submissions, and business documentation.
- Support ad hoc administrative and business coordination activities.
- Merchandise & Asset Management
- Manage merchandise inventory, warehouse stock, and distribution.
- Maintain secure control of warehouse keys, access, passwords, and inventory records.
- Support office asset management, inventory tracking, and internal controls.
- Company Vehicle & Travel Coordination
- Coordinate company vehicle administration, including registration, servicing, maintenance, insurance, and bookings.
- Manage office parking allocation and visitor parking arrangements.
- Coordinate domestic and international business travel, accommodation, and related logistics.
- HQ Coordination
- Support communication and administrative coordination between the Australian business and Head Office.
- Coordinate Head Office visits, reporting requirements, and business documentation.
- Provide administrative support for cross-functional and cross-border initiatives.
- Employee Experience & Culture
- Assist in organising employee engagement activities, company events, onboarding, and workplace initiatives.
- Support internal communication and contribute to a positive workplace culture.
- Process Improvement & Projects
- Assist in developing and improving office administration policies, procedures, and operational processes.
- Support office relocation, workplace projects, and continuous improvement initiatives.
- Maintain accurate administration records and ensure compliance with company policies.
- Health, Safety & Compliance
- Support workplace health and safety initiatives in accordance with Australian WHS legislation and company policies.
- Assist with workplace inspections, incident reporting, and return-to-work coordination where required.
- Other Responsibilities
- Collaborate with HR, Finance, IT, and other departments to support business operations.
- Undertake other office administration, workplace, and corporate support responsibilities as reasonably required.
Qualifications
- Previous experience in Office Administration, Office Coordination, Workplace Coordination, Executive Assistant, Office Management, or similar roles.
- Minimum of 3+ years of experience in office administration, workplace operations, or corporate support.
- Strong organisational and time management skills with the ability to manage multiple priorities.
- Excellent interpersonal, communication, and customer service skills.
- High attention to detail with strong problem-solving capability.
- Proficiency in Microsoft Office Suite.
