OBRA Accounting Services, a part of the OBRA Wealth Group, is seeking an experienced and dynamic Office Administrator to join our team. Initially, this role will be part-time, three days per week, with the potential for increased hours as the role evolves.
You will serve as the primary point of contact for our clients, managing communications via phone, face-to-face interactions, and email. The Office Administrator is responsible for ensuring the daily operations of OBRA Accounting Services are conducted professionally and efficiently. The ideal candidate will possess excellent interpersonal skills, a keen eye for detail, and demonstrate initiative with a personable, empathetic, and respectful demeanour. This role is based in our Mona Vale office, with liaison to Accountants and Administration teams in our Sydney and Cessnock offices.
Key Responsibilities:
- Support Accountants by preparing, sending, and lodging tax returns and financial documents, and booking client appointments.
- Prioritise, allocate, monitor, and pursue administration tasks to completion based on organisational needs and priority.
- Generate invoices and process EFTPOS payments for client taxation services.
- Manage ATO communications, including sending and distributing as required.
- Answer telephone promptly and respond to queries accordingly.
- Receive and sort mail and deliveries; prepare mail and courier packages for pick-up.
- Greet and assist visitors.
- Accept and sign for packages, and work with vendors as needed.
- Maintain a pleasant appearance of the reception area and office.
- Ensure company inventories are stocked and process orders as needed.
- Undertake additional duties as assigned.
Candidate Profile:
Candidates should demonstrate:
- A minimum of 3 years of experience in an administrative and/or reception role within a similar environment.
- Proficiency in using Microsoft Office products.
- Strong time-management and people skills, a high degree of flexibility, and excellent multitasking ability.
- An aptitude for learning new software and systems.
- Demonstrated understanding of the principles of privacy of information, and a capacity to maintain confidentiality.
- Experience in taxation return preparation and lodgement.
- Knowledge of self-managed super funds and financial statements is highly desirable.
- Highly developed written and verbal communication skills, including the ability to liaise with people at all levels and from all backgrounds in an informative, accurate, and positive manner.
- Experience using Xero and Xero Practice Manager or other Accountancy software.
- Attention to detail and problem-solving skills.
- A positive and collaborative team player.
- Ability to work independently and take initiative.
- Experience working with the ATO and ASIC is preferred.
Salary: $70,000K pro rata negotiable.
