Location: Scarborough, QLD Work Type: Casual Hours: 15–20 hours per week Salary: $35 – $50 per hour

The 5 Legged Chair Pty Ltd is a small, values-driven disability support organisation dedicated to providing highly personalised support to one individual (LA) and her team. Our commitment is to deliver person-centred, high-quality support within a collaborative and family-focused environment.

We are seeking an organised, proactive, and professional Office Co-ordinator to manage the daily administration of our service and ensure smooth operations.

About the Role This casual position involves 15–20 hours per week, typically spread across 2–3 days, based at our Scarborough office. The role offers flexibility, making it suitable for individuals seeking school-hours employment. Some availability during school holidays is essential.

Working in close collaboration with the Director, you will oversee the administrative and operational functions of the organisation. Your responsibilities will include ensuring effective communication, efficient systems, and seamless coordination of support for LA and the team.

Key Responsibilities

  • Manage day-to-day office administration and operations.
  • Coordinate calendars, appointments, and staff scheduling.
  • Maintain and improve administrative systems, processes, and documentation.
  • Manage emails, correspondence, and electronic filing systems.
  • Assist with basic bookkeeping and financial administration.
  • Support payroll preparation (experience with Employment Hero/Effective HR is highly desirable).
  • Liaise with support workers, allied health professionals, and external service providers.
  • Assist with staff onboarding, record keeping, and personnel documentation.
  • Ensure compliance with NDIS requirements and organisational policies.
  • Identify operational issues and proactively implement practical solutions.

About You You will be someone who:

  • Is highly organised, reliable, and possesses excellent attention to detail.
  • Communicates professionally and confidently with a wide range of people.
  • Works independently and takes initiative.
  • Can effectively manage competing priorities in a busy environment.
  • Enjoys creating efficient systems and improving processes.
  • Shares our commitment to providing person-centred, high-quality support.
  • Has experience within the disability or NDIS sector (desirable but not essential).

Skills and Experience Ideally, you will have:

  • Previous experience in an administrative role.
  • Strong organisational and time management skills.
  • Payroll experience is highly desirable.
  • Experience managing systems and improving administrative processes.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Basic bookkeeping or financial administration experience.
  • Knowledge of the NDIS system or experience working within disability services, community services (advantageous).
