Office Manager
DYNACIV Pty Ltd is seeking an experienced and motivated Office Manager to support our expanding regional operations. This is a full-time, onsite position based in Cairns.
This role presents an opportunity to join a well-established infrastructure business with a strong pipeline of long-term projects across the region. Dynaciv maintains a strong working relationship with Queensland Rail and continues to invest in growing its footprint throughout Far North Queensland. The successful candidate will enjoy working in a fast-paced project environment, supporting both operational and project delivery teams, and contributing to the establishment and growth of our Cairns office.

Role Responsibilities
- Support Regional and Project Managers on local projects.
- Manage day-to-day office administration and coordination activities.
- Handle accounts administration, invoicing, and data entry using Xero and Dynaciv’s Job Management System.
- Prepare and issue RFQs for trades and services.
- Assist with tender submissions and bid documentation.
- Support subcontractor procurement and administration processes.
- Support with compliance (Quality, Safety, Environmental).
- Support compliance activities to ensure Dynaciv and its subcontractors meet Queensland Rail RIW system requirements.
- Prepare site setup documentation and issue RFIs.
- Coordinate with engineers, certifiers, and service providers to obtain approvals and permits.
- Maintain project records, registers, and business contact lists.
- Provide regular updates to project teams and clients.
- Attend client, project, and site meetings as required.
- Assist with general operational support for the Cairns office.
What We’re Looking For To be successful in this role, you will ideally have:
- Previous experience in an Office Manager, Project Administrator, Contract Administrator, or Project Support role within construction, infrastructure, or civil works.
- Experience using Xero for accounts and administration functions.
- Strong Microsoft Office and computer literacy skills.
- Excellent communication and organisational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- A proactive and team-oriented attitude.
- Previous rail infrastructure experience will be highly regarded.
- Experience working with Queensland Rail projects or systems will be advantageous.
