About the Role We are looking for a highly organised and proactive Project Administrator to provide support to our Special Projects team, specifically on the Iplex Pipe Replacement Project. This position involves coordinating project-related administration, managing communications, maintaining precise records, and ensuring the efficient completion of tasks. You will work closely with the Project Manager and internal stakeholders, contributing to project progress through strong organisation, attention to detail, and excellent customer service.

Responsibilities

  • Monitor project advancement, tracking milestones, risks, and issues, and furnish regular updates to the Project Manager.
  • Manage a shared inbox, prioritising inquiries and ensuring prompt responses.
  • Coordinate communications among clients, contractors, vendors, and internal teams.
  • Maintain accurate project information across various systems.
  • Coordinate quotes, approvals, and vendor assignments.
  • Address customer inquiries and support clients throughout the project lifecycle.
  • Review project records, identify discrepancies, and maintain accurate documentation and reports.
  • Contribute to process enhancements and a collaborative team setting.

Requirements

  • Strong organisational and time management capabilities, with the ability to handle competing priorities.
  • Excellent communication and interpersonal skills, with the capacity to manage client expectations and de-escalate situations.
  • Ability to work independently and collaboratively within a small team.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Experience with Asana or comparable project management tools is an advantage.
