Project Administrator
Shadbolt Group Pty Ltd is seeking a Project Administrator to support a major Defence project. This full-time, onsite role in Osborne offers an opportunity to contribute to the delivery of critical infrastructure by providing essential administrative and project coordination support.
The Project Administrator will report to the Project Manager and will be responsible for providing administrative support across all project aspects, ensuring documentation, reporting, and communication processes are accurate, efficient, and compliant. This role is suited for an individual who enjoys variety, possesses exceptional attention to detail, and can confidently manage multiple priorities.
Key Responsibilities:
- Provide day-to-day administrative support to the project team.
- Coordinate meetings, prepare agendas, minutes, and action registers.
- Manage project documentation, registers, and document control systems.
- Prepare reports, correspondence, and project presentations.
- Support project reporting, tracking, and project controls activities.
- Assist with procurement administration, purchase orders, and subcontractor documentation.
- Maintain project records, commercial registers, and supporting documentation.
- Coordinate communication between project stakeholders, suppliers, and clients.
- Support WHSE administration, compliance records, and training documentation.
- Contribute to continuous improvement initiatives and administrative efficiencies.
About You: You will be a highly organised administrator who enjoys supporting project teams and takes pride in delivering quality work.
You will ideally have:
- 2+ years' experience in project administration or construction/project support.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Outstanding written and verbal communication skills.
- Advanced Microsoft Office skills (Word, Excel, Outlook and Teams).
- Experience using document management systems (highly regarded).
- The ability to manage competing priorities while maintaining high-quality outcomes.
- Experience within Defence, engineering, construction, or infrastructure projects will be highly regarded.
Qualifications:
- Certificate III or IV in Business Administration, Project Administration, or a related discipline (preferred).
