Project Contracts Admin (Design Development Focus)

Key Responsibilities:
- Coordinate design development projects, including programme, deliverables, budgets, and resources.
- Assist with the engagement of architects, engineers, subconsultants, and specialist suppliers.
- Coordinate communication between clients, consultants, internal teams, and external stakeholders.
- Lead and support project meetings, including kick-offs, design coordination meetings, client meetings, consultant meetings, and closeout meetings.
- Track design progress to ensure quality, completeness, and deadlines are achieved.
- Maintain design action registers, consultant deliverables, approvals, decisions, and outstanding items.
- Assist with reviewing consultant scopes, fee proposals, purchase orders, and subconsultant agreements.
- Monitor design project costs and support budget control during the design development phase.
- Identify coordination issues, project risks, and incomplete information, and assist in resolving them early.
- Ensure project documentation, approvals, compliance items, and records are maintained accurately.
- Work closely with estimating, procurement, and production teams to ensure the design is practical, coordinated, and ready for handover.
- Coordinate the handover of design information to the production team, ensuring all relevant documentation and consultant inputs are captured.

You are highly organised, proactive, and take pride in delivering accurate, high-quality work. You enjoy being involved in the design and development of projects and are confident coordinating multiple parties to keep a project moving. You are comfortable working with clients, consultants, and internal teams, and you understand the importance of clear communication, follow-up, and attention to detail in delivering successful project outcomes.
You will bring:
- A minimum of 3 years’ experience in a similar Project Coordination, Design Coordination, or Contracts Administration role.
- Experience in commercial construction, modular construction, or design coordination is highly regarded.
- Exposure to design development processes, consultant coordination, and construction drawings.
- Experience managing project programmes, actions, and consultant deliverables.
- Proficiency in Microsoft Office Suite and project systems (e.g. Cheops, Procore).
- Ability to work across multiple stakeholders and maintain momentum on several live projects.
Qualifications:
- A Degree or Diploma in Architecture, Construction, Building, Project Management, or a related field.
