Receptionist/Administration Assistant

The Role:

Join our team in North Sydney as a full-time, onsite Receptionist/Administration Assistant. In this varied position, you will be instrumental in ensuring smooth daily office operations. Your responsibilities will include providing exceptional front-of-house service, coordinating facilities and supplies, and assisting with administrative and finance tasks. We are looking for an organised and proactive individual who thrives on supporting others and contributing to a positive workplace environment.

Key Responsibilities:

  • Answer and screen incoming phone calls, taking messages and redirecting calls as needed.
  • Welcome clients and visitors to the office.
  • Assist with client and visitor sign-in procedures.
  • Maintain the tidiness of the reception area, boardrooms, meeting rooms, and Zoom rooms.
  • Open, sort, log, and distribute incoming mail.
  • Book courier services.
  • Arrange catering for Directors and internal meetings.
  • Manage the usage of site vehicles.
  • Liaise with office vendors (e.g., handyman, electricians) to address maintenance and repair issues.
  • Assist HR by providing labelled Personal Protective Equipment (PPE) items for new starters (e.g., hard hat labels).
  • Reconcile Cab Charge receipts and the Uber account on a monthly basis.
  • Assist the Workplace & Events Manager with monthly credit card receipts.
  • Maintain and order office stationery supplies.
  • Order office kitchen supplies.
  • Check all office printers and ensure paper supplies are replenished.
  • Maintain neat and orderly office cupboards for stationery and kitchen supplies.
  • Undertake other office support duties as required.

What We Are Looking For:

  • A minimum of 2 years’ experience in a similar role.
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
  • Strong organisational skills and the capacity to multitask.
  • Excellent attention to detail.
  • A proactive approach to tasks.
  • Excellent time management skills and the ability to prioritise work.
  • Problem-solving and analytical abilities.
  • Excellent verbal and written communication skills.
