Receptionist/Administrative Assistant

CBRE GWS Enterprise Sydney NSW Casual, Onsite

A career opportunity is available with a global leader in property. This role, located on the Land of the Gadigal people in Sydney, seeks a Receptionist/Administrative Assistant. The position involves managing front desk operations and providing administrative support to the ANZ GRE team and across all departments. The role is integral to ensuring smooth daily office functions, maintaining a welcoming atmosphere for visitors, and supporting overall organisational efficiency.

This position reports to the Senior Manager (APAC GRE) and will collaborate closely with the AFM, local GRE POCs, all staff, and business stakeholders.

The Role Involves:

  • Welcoming visitors, contractors, and clients, and managing registrations through the Visitor Management System.
  • Professionally answering and directing incoming phone calls.
  • Managing incoming and outgoing mail, postage, couriers, and the distribution of publications.
  • Monitoring and ordering stationery and pantry supplies, and receiving and organising deliveries.
  • Providing basic support for office equipment to ensure smooth daily operations.
  • Supporting the local GRE point of contact with facilities maintenance, repairs, and cleanliness standards.
  • Assisting with vendor sourcing, obtaining quotes, and managing contract renewals.
  • Providing support during office fit-out or leasehold improvement projects.
  • Working with GRE, WBD Security, Health & Safety teams, and the landlord to support site security and compliance.
  • Maintaining accurate document filing and records, for example, in SharePoint.
  • Raising purchase orders, processing invoices, and liaising with Accounts to resolve issues.
  • Providing general administrative support, assisting with process improvements, and completing ad-hoc tasks as required.

This is a full-time casual role, offered as a 12-month placement with potential for extension.

Ideal Candidate Profile:

  • Possesses a Certificate III in Business (Administration) or equivalent experience in Reception/administration.
  • Has experience using office systems, including Microsoft Office, Visitor Management Systems, and accounting systems such as SAP.
  • Demonstrates strong organisational skills with the ability to manage multiple tasks effectively.
  • Exhibits excellent communication skills with a clear customer-focused approach.
  • Is confident working independently and collaboratively within a team.
  • Possesses high attention to detail with a proactive, solution-focused mindset.
  • Is professional and approachable, able to create a welcoming environment.
  • Is reliable and adaptable, able to remain calm in a fast-paced setting.
  • Shows demonstrated integrity and commitment to confidentiality and professionalism.
  • Is comfortable using digital tools and systems to support efficient office operations.
