About the Role
As a Repair Coordinator, you will be integral to ensuring clients have a smooth and stress-free experience. Your responsibilities may include being the initial point of contact for new claims or managing repair coordination from commencement to completion. This role is crucial for maintaining smooth operations, ensuring efficient job progression, and delivering exceptional customer service. You will collaborate with building estimators and the administration team to provide timely communication, accurate documentation, and proactive support throughout each project.
Key Responsibilities
- Manage high volumes of inbound and outbound calls, delivering professional and timely communication to clients, insurers, trades, suppliers, and contractors.
- Liaise with clients, trades, suppliers, and contractors to ensure efficient workflow and timely project delivery.
- Prepare, manage, and maintain project documentation, including quotations, contracts, and appointment schedules.
- Provide administrative support to the Construction, Restoration, and Finance teams.
- Proactively identify and resolve day-to-day operational issues to support business continuity and customer satisfaction.
- Coordinate appointments for estimators and key stakeholders to ensure project milestones and timelines are met.
- Communicate regularly with trades to monitor project progress, providing timely updates to clients, insurers, and relevant stakeholders.
- Ensure all works progress according to project schedules and escalate any delays or issues as required.
- Maintain accurate and up-to-date records across all company systems, portals, and databases.
- Ensure compliance with company processes, service level agreements, and reporting requirements.
- Assist with invoice processing, job administration, and general office coordination as needed.
- Deliver a high standard of customer service, responding promptly to enquiries and maintaining positive stakeholder relationships.
- Consistently achieve and exceed established KPIs, performance targets, and customer service expectations.
- Contribute to continuous improvement initiatives by identifying opportunities to enhance operational efficiency and service delivery.
What We’re Looking For
- Previous experience in an administrative or coordination role within property insurance claims is highly regarded.
- Excellent customer service and communication skills.
- Strong organisational and multitasking abilities.
- A proactive, can-do attitude and attention to detail.
- High attention to detail is a must.
- Experience in building, construction, or insurance is highly desirable.
