The Role
The Service Administrator plays a vital role in providing comprehensive support to the Service Department and delivering exceptional service to external and internal clients. Acting as the primary communication conduit between customers, field technicians, and the wider service team, this position ensures efficient coordination, advanced scheduling, and smooth administration of service operations.
Key responsibilities include:
- Customer creation and the entry/maintenance of customer service contracts.
- Job raising and dispatching.
- Raising purchase orders for jobs.
- Planning, scheduling, and managing staff utilisation.
Key Responsibilities
- Manage the lifecycle of deliverable jobs from creation through to completion utilising ERP systems.
- Enter and maintain contract data, including contract renewals, new contracts, and warranty creations.
- Ensure costs and expenses are managed prudently and align with company expectations and operating budgets.
- Manage the process for vendor invoices and submit them to Accounts Payable for payment.
- Collaborate with Service Managers to plan and schedule daily technician operations, ensuring timely service delivery according to contractual commitments.
- Utilise the Service ERP system to manage service jobs, encompassing breakdown service repairs, agreement maintenance, projects, and quoted work, from inception to completion.
- Serve as the primary point of contact for technicians, promptly addressing their issues and coordinating resolutions with the Service Manager, including requirements for vehicles, tools, equipment, and parts.
Requirements
Minimum requirements include:
- Previous experience in an administration or coordination role.
- Experience using SAP database is advantageous.
- Ability to multi-task and prioritise tasks according to business priorities.
- Intermediate computer skills and a high level of attention to detail.
- Exceptional verbal and written communication skills.
- Possess a solution-based mentality and the ability to be adaptable in a fast-paced, high-pressure environment.
- Exposure to the Building/Construction or Service industry will be highly regarded.
- Previous experience using Servicemax or Salesforce would also be an advantage.
