Service Planner

The Role
The Service Planner provides essential support to the Service Department and delivers excellent customer service to external and internal clients. This role acts as the main communication channel between customers, on-site technicians, and the service team, ensuring efficient coordination, advanced scheduling, and smooth administration of service operations.
Key responsibilities include:
- Customer creation and maintenance of customer service contracts.
- Raising jobs, dispatching, and raising purchase orders for jobs.
- Planning, scheduling, and managing staff utilisation.
- Managing the process of deliverable jobs from creation to completion using ERP systems.
- Data entry for contracts, including renewals, new contracts, and warranty creations.
- Ensuring costs and expenses are managed in line with Company expectations and operating budgets.
- Managing vendor invoices and submitting them to Accounts Payable for payment.
- Collaborating with Service Managers to plan and schedule daily technician operations, ensuring timely service delivery as per contractual commitments.
- Utilising the Service ERP system to manage service jobs, including breakdown service repairs, agreement maintenance, projects, and quoted work, from creation to completion.
- Acting as the primary point of contact for Technicians, promptly addressing their issues and coordinating resolutions with the Service Manager, including vehicle, tool, equipment, and parts requirements.
Requirements
- Previous experience in an administration or coordination role is a minimum requirement.
- Experience using SAP database is advantageous.
- Ability to multi-task and prioritise tasks according to business priorities.
- Intermediate computer skills and a high level of attention to detail.
- Exceptional verbal and written communication skills.
- Possess a solution-based mentality and the ability to be adaptable in a fast-paced, high-pressure environment.
- Exposure to the Building / Construction or Service industry will be highly regarded.
- Previous experience using Servicemax or Salesforce would also be an advantage.
