Studio Coordinator Zaleta Maroochydore Full-time, Onsite

Zaleta is a family-owned custom home builder situated on the Sunshine Coast. Our focus is on constructing exceptional homes and delivering an outstanding client experience. We are seeking an experienced Studio Coordinator to join our team and become a key contributor to the business. This is a varied role encompassing administration, client communication, project coordination, and pre-construction support, aimed at facilitating project progression and team organisation.

To be successful, you will possess prior administration or coordination experience within a residential construction, building, interior design, or architectural business. Knowledge of construction/building is essential.

This role is suited for an individual who enjoys taking ownership. You will be highly organised, dependable, and capable of managing competing priorities while simultaneously advancing multiple projects. You are a critical thinker adept at problem-solving, seeing tasks through to completion, and taking pride in consistently delivering high-quality work.

About the Role As the Studio Coordinator, you will manage the daily operations of the studio and provide support to the Sales, Design, and Construction teams. Your role will involve ensuring projects progress, priorities are organised, and clients are kept informed, while offering high-level administrative and coordination support across the business.

Responsibilities include:

  • Coordinating client appointments and managing multiple calendars.
  • Managing the pre-construction workflow to ensure projects advance through each stage using TeamGantt software.
  • Monitoring project milestones, following up on outstanding actions, and assisting in keeping deadlines on track.
  • Preparing and dispatching fortnightly client construction updates.
  • Creating polished client presentations, proposals, and documentation using Canva and Microsoft 365.
  • Maintaining organised digital filing systems and project documentation.
  • Providing coordination and administrative support to the Directors and Project Manager.
  • Coordinating priorities and follow-up actions across various business areas.
  • Supporting the Sales, Design, and Construction teams with administration and project coordination.
  • Greeting clients and ensuring the studio is consistently welcoming and professionally presented.
  • Managing office supplies, studio presentation, and client hospitality.
  • Identifying opportunities for improvement in systems, processes, and efficiencies across the business.
  • Assisting with general business administration and special projects as required.

Success in this role is measured by the smooth operation of the business, ensuring projects move forward, clients are informed, deadlines are met, and no detail is overlooked.

About You You will bring:

  • Previous administration or coordination experience within a residential construction, building, interior design, or architectural business (essential).
  • Exceptional organisation, prioritisation, and time management skills, with the ability to confidently manage competing priorities.
  • The ability to remain calm, adapt quickly, and reprioritise in a fast-paced environment where interruptions, changing priorities, and unexpected requests are part of the daily workflow.
  • Experience coordinating multiple projects, schedules, and deadlines.
  • Strong critical thinking and problem-solving skills.
  • Confidence in taking ownership, making decisions, and following tasks through to completion.
  • The confidence to professionally follow up on outstanding actions and hold others accountable to agreed timeframes.
  • Excellent written and verbal communication skills.
  • Confidence using Microsoft 365 (Outlook, Word, Excel, and SharePoint).
  • Experience preparing polished presentations and documentation using Canva.
  • A proactive, professional, and down-to-earth attitude.
  • A sharp eye for detail, presentation, and quality.
  • A genuine commitment to delivering exceptional client service.

  • Hours: Monday–Friday | 8:30 am – 4:30 pm
  • Location: Based at our Cotton Tree Design Studio, Maroochydore.
